Finance And Administration Co-Ordinator (Eu Funded Project “Aswat Faeela | Active Voices”)

Purpose of job To provide support to the overall administrative management components of the EU funded Aswat Faeela Project. To support consistent and effective management of all aspects of project finances, ensuring rigorous financial control and complete, accurate and accessible information in compliance with clear financial, administrative and audit procedures. To provide logistical support to all the activities of the project. To deliver the outputs of Aswat Faeela Project to the satisfaction of the client (EU), British Council & associated delivery partners, and the Project Team Leader ensuring proper control and compliance To ensure accurate and systematic information and record keeping, ensuring ease of access to information across the project team. To work with consortium partners to ensure quality documentation is produced and disseminated according to necessary deadlines and standards of quality & completeness Accountabilities, responsibilities and main duties: Support the Team Leader in effective financial management of the project Prepare and maintain financial plans and forecasts for the length of the project, providing advice on best ways to structure plans and highlighting problem areas and potential risks to the Team Leader and UK based project Finance Manager. Review and analyse variances on a monthly/periodic basis and reporting to the Team Leader and UK based Finance Manager. Prepare estimations, projections and any other management information that provides the necessary data required to take financial planning decisions. Contribute to the analysis of financial information and preparation of internal and client reports ensuring they are accurate, complete and timely. Ensure compliance with client / British Council accounting requirements Undertake regular reconciliation and other expenditure and income, according to agreed timeframes and standards. Support vendor registrations and appropriate financial system (SAP) set-up in order to fulfil payments and other project expenditure. Check and post all journals on Finance & Business Systems (SAP), check petty cash prior to      reimbursement, check invoices to payment run & escalate issues observed Ensure that all expenditure is charged to the correct budget line and ledger code. Support the preparation of periodic invoices to the client and the completion of effective audits for the project Liaise with County Finance Team to ensure smooth and proper coordination related to payrolls and regular payments and purchases Support a range of logistical, administrative and procurement arrangements for effective project and delivery management Lead the management of the project logistics including event planning and management, travel arrangements, accommodation, visas etc. Provide logistical and administrative support to the team, ensuring all deadlines are met and procedures and policies are adhered to. Lead procurement activities and project office resources, ensuring value for money and compliance with BC/Client procedures including seeking quotations and preparing comparative statements Ensure proper maintenance of the IT systems and associated equipment. Ensure compliance with client/British Council administrative requirements. Process all purchase orders and invoices in line with contract terms, ensuring payment methods are appropriate and secure. Undertake inventory verification to ensure that all items are within approved contractual limits.
