Roles and responsibilities
Secretarial task
• Prepare letters, reports, records and other documents related to the projects.
• Prepare a variety of correspondence and forms, and keeping records.
• Schedule meetings and arranges appointments, if requested.
• Supervise office and housekeeping staff.
• Assist the Country Administrator in meetings upon request.
• Manage office stationary supply and place orders on time to avoid running out of stock.
Administrative Tasks
• Tendering and purchasing: support the Country Administrator in arranging tender procedures (advertisements, evaluation, notifications).
• Maintain communication with the contractors, office owners, car rental and other service.
• Handling cash and record daily project expenditures and allocation to the project budget lines.
• Organize receipts, prepare vouchers, and record all the expenditures documentation in a timely and complete manner, according to the instructions of the Country Administrator.
• Prepare employment contracts in conformity with legal requirements including specific amendments when necessary.
• Draw up monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
• Support the Country Administrator in preparing the financial reports to be submitted.
• Keep records pertaining local personnel and insurances.
• Coordinate with the Logistician for the management of items to be purchased, vehicle running costs, service contract monitoring, as well as office inventory and maintenance of office equipment.
Accountability
The Local Administrator is accountable to the Country Administrator and ultimately to the Project Manager.
