Information Managemet / Emergency Hotline Officer

JOB PURPOSE AND BACKGROUND Based in Zahle, the Emergency Hotline and Information Management Assistant (EHIMA) will make sure that data coming from different field sources and the emergency hotline are accurately and consistently entered in ad hoc databases, cross-checked and validated before being processed. The EHIMA will assist the Information Management Officer (IMO) with the daily reconciliation of digital data entered, with the archiving of hard copies, and protecting INTERSOS operations by keeping information confidential. The EHIMA will also work closely with the Project Manager.   KEY DUTIES: Record in Excel spread-sheets and following ad hoc templates all the information collected by  beneficiaries and shopkeepers through the dedicated emergency hotline; Enter e-cards paper forms, attendance sheets, paper questionnaires, survey outputs, post-distribution monitoring forms, logbooks, field assessment forms and other paper inputs from Field Officers, Team Leader, Data Entry Officer and Analyst into set databases; Enter data in a timely and accurate manner into spread-sheets and Word documents; Maintain databases for the Project Manager and track basic statistics and trends from the data, in collaboration with the team; Prepare updated figures and information requests, as requested by the Project Manager and team; Prepare source data for computer entry by compiling and sorting information; establishing entry priorities when necessary; Process beneficiaries and account source documents by reviewing data for deficiencies; resolving discrepancies or returning incomplete documents to the Data Entry Officer and Analyst for resolution; Enter beneficiaries and account data by inputting alphabetic and numeric information according to screen and paper format; Maintain data entry requirements by following data program techniques and procedures; Reconcile data entries with hard copies, to ensure proper entry and cross checking; Verify entered beneficiaries and account data by reviewing, correcting, deleting, or re-entering data;  purging files to eliminate duplication of data; Secure information by completing data base backups; Maintain beneficiaries’ confidence and protect operations by keeping information confidential; Other duties as required. • High school or technical school graduate, Bachelor Degree preferable;
• Previous experience with an NGO preferred, especially within data entry work;
• Computer literacy, particularly in WORD and EXCEL;
• Strong Arabic AND English reading, writing and comprehension skills, both languages are a must;
• Fast typing speed;
• Able to work outside of regular working hours as required, including evenings and weekends if required;
• Patience, good personal organisation, good communication and ability to work in teams, seriously, rigorously and personal accountability;
• Initiative, flexibility and willing to learn;
• Ability to work under time pressure, independently, and with limited supervision;
• Good level of numeracy;
