Human Resources Co-Ordinator

Accountabilities, responsibilities and main duties: To maintain all TACOS (terms and Conditions of Service) related administration: Personal files are maintained in accordance with British Council corporate and local policy and standards.   Staff HR records (annual leave, maternity, unpaid leave, sickness and TOIL) are up-to-date and accurate and necessary staff informed. Country Appointed (CA) staff medical service is maintained, newly appointed staff are informed.  Information provided to staff is accurate and up to date. Letters of Contract and Amendments to Contracts are drawn up and circulated within three days of confirmation by Assistant Director Resources. Letters regarding TACOS changes (e.g. pay increases) are accurate and processed on time. NSSF requirement are processed appropriately. Work closely with the Finance Team to ensure the HR information (including leave, sickness, overtime etc…) is effectively maintained on the local system for monthly payroll processes.   To manage the records for country-appointed staff: ·         To manage the Performance Management timetable: staff reminded of key process points, advice given to staff is accurate and timely, moderation panels organised according to corporate, regional and country policy. ·         New staff / line managers inducted on Performance Management and Professional Development (PMPD) and records maintained. ·         Performance records are up to date and maintained in line with corporate standards. ·         Maintain the local and corporate HR systems, ensuring all staff information is up to date and accurate. ·         Provide line managers with the required support to keep the HR systems maintained. ·         Explores the HR systems to provide support to the management to allow business decisions. Ensure staff’s deliverables and professional development plans are agreed and monitored effectively and to deadlines.   Ensuring individual deliverables are aligned with team deliverables.   Recruitment and selection: Support recruitment managers in recruitment process and maintain all TACOS related administration and records for all locally contracted staff. Recruitment and selection processes meet corporate standards.  Interview panels are organised in timely manner. Communications with candidates regarding interviews, acceptance/rejection confirmations, and briefing sessions for are accurate and on time.   All temporary local contracts and agreements for interns meet local and British Council corporate standards. All necessary staff (for payroll, IT accounts etc) are informed in time for all temporary staff. Feedback is actively sought from stakeholders, including Recruiting Managers, and is positive and/or acted upon. New staff are provided with accurate and up to date information. Child Protection and data protection standards are met for all staff.  All contact information for temporary local staff is up to date and accurate.   The HR Co-ordinator contributes to the development of an efficient, integrated and motivated Resources Team, which champions British Council values, meets all Performance Management and Professional Development standards and works effectively with colleagues across all activity streams.   The HR Co-ordinator performs in line with British Council values, our Equality, Diversity and Inclusion policy, our Code of Conduct, and ensuring that Performance Management and Development standards are met at all times.  S/he must ensure the Assistant Director Resources is kept informed of changes to operational activity and the potential impact on resourcing needs.
