Receptionist/administrative Clerk

Under the supervision of the COM and reporting directly to the COM, the incumbent will carry out the following duties and responsibilities:   1. Assist in scheduling of COM/Officer in charge’s official appointments/travels. Record appointments, calls, and keep the COM/OIC’s address/phone indexes updated.       2. Assist in organizing cultural orientation training sessions delivered to refugees resettled to Australia including training materials, statistics and quarterly reports.       3. Assist in organizing the office library.       4. Prepare travel expense claims submitted by COM.       5. Receive and direct all incoming and outgoing calls. Verify that a log system for international calls is maintained.       6. Assist with informal translation of documents from Arabic to English and vice versa and type all confidential letters & reports as well as IOM documents and forms.        7. Assist in organizing the mission’s filing system following IOM general guidelines. File incoming/outgoing/faxes/letters and other documents accordingly. File research as/when needed for follow-up purposes.       8. Develop and update IOM Lebanon protocol list.       9. Prepare IOM folder for COM visitors.     10. Any other duties that may be assigned.
