Logistics Assistant

Under the overall guidance of the Chief of Mission in Lebanon, and under the direct supervision of the Resource Management Officer (RMO) in Beirut, the incumbent shall be responsible for carrying out logistics functions in accordance with IOM’s regulations, rules and procedures. In particular, the incumbent will: Support overall Logistical needs within the office, including: Stock Management, Supply goods, Building Service and Maintenance, Vehicles and Drivers Management, and Dispatch-Transportation related tasks. Responsible for preparing the paperwork for the customs Liaise with the local/private transportation companies concerning transport and delivery of goods. Inform supervisor whenever the delivery period does not meet the projects implementation schedule. Ensure through established procedures, that all received goods are in accordance with the terms and specifications of the respective POs. Receiving shipments of NFI’s and medical requirements (medicine, consumables, equipments, etc) from the suppliers and updated the stock inventory records. Responsible for maintaining the “Stock Receiving Report” when receiving items from suppliers and or projects. Responsible for maintaining the “Stock Withdrawal Report” when releasing from stock to the projects for donations to beneficiaries.  Responsible to upkeep the stocks of the stationery, office supplies/needs, cleaning materials/supplies of the office Maintaining all the office equipments in timely manner; photocopiers, printers, security access system, fire alarm system, CCTV system, and the telephoning system Follow up the electricity consumption rate in Beirut Office.  Follow up the fuel consumption rate for the vehicles of Beirut Office. Monitor the drivers’ daily movements with the vehicles’ allocations. Verify submission of TA’s and Security Clearances related to the drivers’ movements/missions out of Beirut. Follow up the vehicles logbook’s on weekly basis. Monitoring the loading/offloading activities at the storage when needed and inform when hiring of sufficient labor to cover the job properly will be needed. Instant update to the storage inventory records upon completing for each activity. Ensure invoices are well received when payment is conducted in cash. Archiving system update and management with proper labels. Database system update and management. Undertake any other duties that might be assigned by the RMO or the CoM.
