Minimum required knowledge & experience:
Ÿ Pharmacist qualification (registered and authorized for practicing in Lebanon).
Ÿ Knowledge of pharmaceutical market and legislation regarding drugs and medical items material in Lebanon
Ÿ More than 2 years of experience in a similar field
Ÿ Good knowledge in medical stock management
Ÿ Knowledge in logistics (warehousing, stock management, cold chain…)
Ÿ Able to work independently
Ÿ Good command of written and spoken English /Arabic
Ÿ Excellent computer skills including excel spread sheets

Function description:
Ÿ Provide medical logistics support to ICRC Tripoli operations in accordance with ICRC logistics standards and in respect to Lebanon standard drug protocols.
Ÿ Follows-up of the medical items distribution and their validation.
Ÿ Performs local purchase when necessary in accordance with ICRC purchasing policy and as directed by the hospital administration/HPM
Ÿ Facilitates and monitors a system of quality control
Ÿ Manages the medical stocks
Ÿ Ensures controlled drugs reporting in compliance with Lebanese legislation
Ÿ Ensures all administrative filing of his/her unit (field procurement files, purchase orders files, suppliers files, products files)
Ÿ Assists with medical data collection, entry, analysis and reporting in collaboration with Medical Logistician (Quality control).
Ÿ Dispensing medications to wards and patients on discharge as stipulated by the doctors to those in the WTTC program
SPECIFIC ACTIVITIES
Order Management
Ÿ Receives, registers and reviews (medical) orders
Ÿ Utilizes the FSS for all ordering
Ÿ Follows-up the medical national standard list
Ÿ Regularly provides hospital management with updated order status information
Ÿ Overall responsible to maintain a file per requisition order, updating it with all correspondence, closes and files orders when they have been completely filled
Ÿ Communicates with customers, answers to messages and maintains a dialogue
Ÿ Assures customers that all inquiries, requests, complaints and problems are taken seriously and treated as quickly and efficiently as possible
Ÿ Supports storekeeper to issue Requisition Orders according the ICRC procedures.
Ÿ Provides advice to hospital staff and logisticians concerning medical logistics issues
Ÿ Overall responsible of all backorders with the medical warehouse and respective purchasers
Warehousing and Dispatching
Ÿ Conduct monthly inventories, and yearly physical inventory to ICRC specifications with storekeeper
Ÿ Ensures proper storing of items according to pharmaceutical and ICRC requirements, especially regarding cold chain items and controlled drugs
Ÿ Ensures that cold chain equipments are working properly and that daily monitoring is in place and documented
Ÿ Ensures FIFO, and FEFO stock rotation
Ÿ Monitors short expiry dates.
Ÿ Ensure that cold chain is maintained during transport
Ÿ Ensuring that storage and transport of medical goods complies with pharmaceutical laws and regulations in the country
Ÿ Prioritizes the warehouse and dispatch daily work.
Quality Control
Ÿ Checks conformity of the received goods with the PO (dosage, origin, validated manufacturer) with storekeeper
Ÿ Checks that the product corresponds with the Quality Certificates provided by the supplier
Ÿ Ensures that quality certificates are available and maintain an efficient filing system
Ÿ Ensures that medical products (drugs, medical materials and medical equipment) of good quality are supplied to customers by quality control and ensures that their quality is maintained throughout the supply chain.
Ÿ Ensures the safe disposal of expired/ damaged medical items under regulation and accordance to Ministry of Health.
Ÿ Ensures that batch tracing is possible
Ÿ Organizes return or exchange of rejected goods
Ÿ Follows-up any claim reports from the hospital concerning quality with the respective supplier and maintaining a file with all claims.
Reporting / Statistics
Ÿ Issues claim report for missing items and losses/damages
Ÿ Maintains adequate filling and archives
Ÿ Ensures that back up of electronic files are done on a regular basis
Ÿ Reports to Hospital Administrator on local purchases in accordance with ICRC purchasing policy
Others
Ÿ Liaises with the hospital administrator in relation to the management of pharmacy or medical logistics matters and health related programs in the hospital
Ÿ Researches and provides legal and pharmaceutical documents on request
Ÿ Assists with briefing and training of the new staff
Ÿ Represents the ICRC towards the authorities in all matters concerning pharmaceuticals in collaboration with LOG Beirut
Ÿ Obtains and gives feedback information on any new laws and regulations concerning pharmaceuticals
Ÿ Develops and maintain a good working atmosphere
Ÿ Proposes points to be improved for future
Ÿ Ensures respect of internal procedures
Ÿ Weekly backup of all essential computer files
Ÿ Remains up to date and familiar with ICRC standard and non-standard items
Ÿ Ensures unauthorized personnel do not enter the warehouse
Ÿ Ensures pharmacy/medical warehouse services are available during normal working hours
Ÿ Ensures there is appropriate provision for disposal of pharmaceutical waste
