*Role Purpose: the human resources assistant assists with the administration of the day to day operation of the human resources functions and duties
*Scope of role: Reports to HR Manager
*Key Areas of Accountability:
HRIS and other HR files:
Compile and update employee records (hard and soft copies);
Maintain employee information by entering and updating employment and status-change data on the HRIS
Update and maintain the HR files as required in soft on the servers
Ensure clearance form is signed before settling the account of the leavers
Prepare all types of letters and contracts
Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.)
Insurance/NSSF/MOF:
Maintain current professional insurance policies;
Act as a focal point for insurance requests from staff;
Ensure that the NSSF documents are properly filled by the employees and sent to the NSSF Office for processing
Ensure the relevant papers are filled in and sent to the ministry of finance on time
Child Safeguarding and Inductions:
Assist in staff induction process working closely with HR colleagues
Assist Child safeguarding focal point/trainer - Ensure that existing and new staff are properly inducted on the Child safeguarding policy as well as following up confidentually on any CS issues that arise
HR Support:
Support in organising CO wide trainings/workshops, etc.
Assist with day to day operations of HR functions and duties
Maintain HR trackers up to date: Leaves, training, recruitment, and any other relevant tracker
Liaise with the administration department to ensure that all staff has ID cards
Make use of all available policies, practices, checklists and guidlines
Ensure legal compliance and SCI minimum standards in all HR processes
Coordinate HR projects (meetings, trainings, surveys etc,) and take minutes

*Qualifications and Experience
Human Resources management degree or diploma/certificate in HR preferred
1 to 2 years of relevant working experience
Good understanding on HR administration related issues, basic on general HR management, knowledge on office management and filing
Excellent interpersonal communication skills, very accurate in drafting letters and emails, good in database information management, maintaining confidentiality, documentation and filing skills;
Good communication (English & Arabic)
