Finance & Administration Officer

  POSITION TITLE:                                                                                                                Finance & Administration Officer   REPORTING TO:                                                                                                                  Executive Director   STATUS:                                                                                                                              Full-Time   STARTING:                                                                                                                           September 2015     Position Summary   (1)  Performing accounting transactions and bookkeeping. (2)  Supporting the organization’s financial management. (3)  Managing human resources in terms of managing all staff matters. (4)  Office management in terms of suppliers, legal matters and filing. (5)  Events logistical support.     Responsibilities     Accounting: ·            Manage transactions including purchases, receipts and payments, including managing petty cash. ·            Ensure filing and bookkeeping of accounting transactions. ·            Follow-up with the bank on donations and checks deposits. ·            Prepare invoices and collect contributions and donors funds. ·            Manage procurement, analyze bids and process payments.   Financial Support: ·            Support preparation of annual budget for INJAZ Lebanon, for donors and projects. ·            Support the accounting firm and Executive Director in managing the organization‘s financial performance against budget and operational goals. ·         Support on fiscal and legal matters including preparing and follow-up on annual government needed audits with the lawyer, ministries and others. ·            Support the accountant and Executive Director in preparing financial reports, monthly or as needed including reports to donors and to the Board of Directors.   Human Resources: ·         Manage all staff related matters (timesheets, annual leaves, contracts, attestations, etc …). ·         Update staff files (payroll, NSSF, salary tax, status sheets…). ·         Prepare and issue the payroll for staff members. ·         Support staff recruitment (posting job descriptions, reviewing CVs, preparing job offers and contracts). ·         Maintain data on recruitment activities, applicant flow, interviews, hires, promotion and resignation or terminations. ·         File NSSF and/or insurance forms for new comers and follow up on the regular NSSF and Insurance formalities for all team members. ·         Ensure proper implementation of HR policies and procedures to maintain a healthy working environment. ·         Support development and implementation of the staff appraisal system. ·         Support temporary internship programs.   Administrative Support: ·         Procure office and cleaning supplies. ·         Manage suppliers’ contracts. ·         Manage reception (telephones, couriers, incoming mail and material). ·         Maintain up to date office inventory list. ·         Follow up on INJAZ office insurance policy. ·         Manage, monitor and increase the efficiency of support services (IT, Audit, and Accounting) through coordination and communication between support and organization. ·         Remind and insure that staff members are regularly updating their back ups on the server. ·         Provide assistance with travel arrangements and travel reports (tickets, hotel bookings, petty cash and reimbursements). ·         Manage administrative and accounting files and database systems. ·         Print all materials for program kits.   Events Support: ·            Organize all events logistics in terms of catering, supplies and transport. ·            Manage event suppliers.   Reporting: ·         Gather necessary data from team members and prepare the organizational report annually to be sent to the regional and international offices.   Position Qualifications: Required:      -  Bachelor’s degree in Accounting, Business Management or equivalent. -  3-4 years work experience in accounting and basic HR. -  Strong oral and written communication. -  Strong organization and planning skills. -  Trustworthy and detail-oriented. -  Computer literacy. -  Self-motivation and an entrepreneurial attitude. -  Sincere interest in the mission of INJAZ Lebanon. -  Excellent English and Arabic.       TO APPLY: email your resume and cover letter to Rima Moukarzel (rima@injaz-lebanon.org ).     ABOUT INJAZ LEBANON INJAZ Lebanon is a non-profit organization, an affiliate of Junior Achievement (JA) Worldwide, with a mission to equip youth with the skills and mindset they need to become the entrepreneurs and business leaders stimulating their communities.
