Compliance Officer / Archivist

GENERAL RESPONSIBILITIES Based in Beirut, and under the direct supervision of the Country Director, the Compliance / Archivist is in charge of the implementation of the Archiving Policy throughout the mission concerning finalized projects mainly. The position entails a flexible working place during periods of high workload related to one of the bases, with travels to Bekaa and the South. REQUIRED SKILLS Initiative Strong communication skills Availability/learning capacity Ability to work in a team Interpersonal qualities and diplomacy Organized and rigorous Flexible with respect to job priority Agrees with the principles and objectives of ACF DETAILED OBJECTIVES AND TASKS Objective 1 : To gather and scan all finalized project donor-documentation After final report submission informed by Grants Writer to the Archivist, contact Technical team, Logistics, Finance and HR in order to launch archiving for the finalized project; Set clear action plan with deadlines for each responsible in each department to prepare and submit documentation to the Archivist; Set up meeting with Head of Project, and Head of Base if necessary, to understand specificities of the Project: how the Programme was implemented, what is the documentation related to each activity, what is the filing system in Programme Revise compliance to donor guidelines and internal procedures of each piece of document before scanning Scan as per ACF Lebanon Archiving Procedure all documentation from Technical Department, Logistics and Finance, respecting the standard organizational method defined in the policy Gather all original documents in one box, properly labelled, sent to Capital Office in Beirut Make 3 CDs of projects: 1 to HQ, 1 to Capital Office, 1 to the Base Objective 2 : Perform lessons learned/best practices Monthly debrief with the Directors and applicable Coordinators problems encountered in the documentation in order to nourish a best practices guide Support in helping the tools used in each department Objective 3 : ACF charter and principles Respect of ACF Charter and internal rule Be committed to participate to any related work as requested by line managers   This job description is not exhaustive and may be changed or amended by the Head of Project when necessary, according to the base needs. ** Both technical tests and interviews will be conducted completely in ENGLISH **
