SDC Lebanon Office – Beirut   Job Description for Office Assistant at SDC Lebanon Office – Beirut 100% Vacancy for one year renewable Expected Start: 15th of July 2015 Deadline for application: 20th June 2015     The Swiss Agency for Development and Cooperation (SDC) is Switzerland’s international cooperation agency within the Federal Department of Foreign Affairs. The Regional Cooperation Office in Ammanopened in 2001 to coordinate the Swiss Confederation’s humanitarian aid and development projects in Jordan, Syria, Lebanonand Iraq. SDC Lebanon Office is operational since 2008. More information can be found under https://www.eda.admin.ch/beirut     Office Assistant   The Office Assistant will support the SDC Lebanon Office – Beirut in all tasks necessary for the daily running of the office and reports to the Finance & Admin Officer.   Duties and Responsibilities   Assist in the daily running of the office Assist Finance/Administration Officer in preparing/reviewing proper documents/receipts (according to SDC rules) for payments Read/write in English and Arabic perfectly. Estabishes letters and email according the SDC regulations and formats Corrects, format and files the documents being published Establishes the minutes of the meetings (internal, external meetings where required) Organizes the data management concerning contacts or relevant task - and project lists Assist in the management of the petty cash box Establish purchase orders Operate telephone and fax and assist colleagues in typing letters, sending faxes and photocopying Assist in archiving (soft and hard) Control and maintain office stationary Procure office items (stationary, kitchen and cleaning supplies) Prepare, organise and follow up on workshops, missions, trips and meetings Assist colleagues in the realization of their daily tasks   Candidates are expected to fulfil tasks not included in their TOR if deemed necessary by the Supervisor or Head of Office.     Skills and Abilities High degree of managerial, administrative and organisational skills Fluency in English and Arabic (mother tongue), French or German are an asset Excellent computer skills (Excel, Word, PowerPoint) Precision and analytical skills Reliability, discreteness, efficiency Ability to identify priorities, proactive, honest and punctual Good interpersonal skills and team spirit Good personal management and organization, able to work independently Service oriented approach within the organization to facilitate the work of all departments Vacancy only for persons residing in Lebanon   Experience and Education Bachelor degree or equivalent in vocational training Sound professional experience Three to five years working experience preferably with a donor agency   Please send your CV along with a motivation letter and three references to beirut@sdc.net  by 20th of June 2015.
