Awards Coordinator - Ngo Consirtia

ROLE PURPOSE: Save the Children are the lead agency in a two year, 10m GBP Education Consortium with the Norwegian Refugee Council (NRC) and the International Rescue Committee (IRC). The programme is focussed on providing non-formal, quality education and will complement ongoing government and donor efforts to provide education for Syrian refugees, Palestinian refugees from Syria and vulnerable Lebanese children.     Save the Children are also the lead agency in the Lebanon Cash Consortium…   As a member of the Awards Management team at Save the Children Lebanon, the Awards Coordinator will be responsible for ensuring donor compliance as well as harmonised and accurate reporting across the Consortia. This will be achieved through developing reporting mechanisms, supporting their implementation, analysis of all budgets and the preparing of narrative and financial reports. The post holder will also be responsible for the identification of issues or irregularities as well as following up on their resolution by programme management and COP/PDs.   The Awards Coordinator will work with the Finance and Awards teams of the Save the Children and Consortium Partners, as well as with the Coordination Unit, Area Offices, Education teams, Cash Teams and the donors.   KEY AREAS OF ACCOUNTABILITY:   Reporting, AMS processing and proposal adaptation, To develop strong, timely proposal revisions in collaboration with partners, whilst also ensuring coordination with the Lebanon PDQ, Finance and AMU teams. Provide significant budget development support in collaboration with partners, whilst also ensuring coordination with the Lebanon PDQ, Finance and AMU teams. Keep an up to date database of members and donors, including timely tracking of funding opportunities for Consortium expansion. Support consortium teams in AMU related discussions with SC members, and in leading fundraising discussions with members. Ensure effective management of the process of preparing concept papers and project proposals for fundraising purposes; ensure that relevant trackers (opportunities, proposals, and reports) are updated on a regular basis. Ensuring that all proposals, contracts and amendments are appropriately authorised, that new grants documentation is properly registered and updated on AMS and that any issues with the grant management system are addressed promptly and effectively. Preparing comprehensive donor reports.   Coordination and representation Participate in any donor visit to project(s) within the Education Consortium or Lebanon Cash Consortium portfolio as required.   Participate in key donor meetings, when necessary, to foster long-term collaboration and engagement. Ensure effective coordination with all the members on all Awards related matters related to the Education and Lebanon Cash Consortium awards.   Partners’ contract management Lead in development of consortium partnership and governance contracting. Ensure partners understand donors’ requirements for each specific award through training and coaching. Establish the reporting schedule and all annexes and amendments to the partners’ contracts. Review and update the reporting tools and the documentation requirements according to partnership contracts and ensure compliance of donor reporting accordingly. Support partners in producing quality narrative and financial reports. Collect the arguments to justify any delay or changes in the implementation of agreed projects. QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES   Essential Knowledge of the requirements of the major emergency donors (ex. DFID, ECHO, etc..) and experience in budgeting and reporting to donors Good attention to detail and analytical skills Excellent English writing skills Computer literate (i.e. WORD, advanced Excel, Outlook, Internet Explorer, financial systems) University degree in a related subject Cultural awareness and ability to build relationships quickly with a wide variety of people Patient, adaptable, flexible, able to improvise and remain responsive and communicate clearly and effectively under pressure Excellent planning, management and coordination skills, with the ability to organise a workload comprised of varying and changing tasks and responsibilities Strong communication (written and spoken), and interpersonal skills with experience in working with multicultural teams Significant experience with NGOs in an international emergency environment   Desirable Experience in working with Save the Children\ Knowledge of Save the Children financial systems and overseas accounting software (including AMS & Agresso)
