Basic Function: Purpose and Scope
Working under the supervision of the project manager, the Administrative Assistant oversees and manages all office procedures and other tasks as assigned by the project officer.
Duties Performed:
Organize and coordinate meetings, conferences, travel arrangements
Prepare and manage correspondences, reports and documents
Implement and maintain office systems
Maintain schedules and calendars
Arrange and confirm appointments
Organize internal and external events, conferences and seminars (reservation, catering, hotel reservation, airplanes tickets…)when needed
Set up and maintain filing systems
Collate information
Coordinate the flow of information both internally and externally
Operate office equipment
In charge of the bidding when needed
Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing related to the project
Coordinate and direct office services, such as records, budget preparation, personnel and housekeeping
Attend meetings as requested in order to record minutes
Support staff in assigned project based work
Other duties as assigned by the project officer
