Objectives and responsibilities:
Ensure the reception and communication of the association with its partners and users
Host physically and over the phone and identify and refer interlocutors requests, transmit them to employees or make appropriate decisions in their absence
Ensure duty in the executive service in the absence of the Director or Deputy Director in order to prepare and lighten up the work of the latters
Receive, record, filter and transmit mails to the persons concerned
Write, type, format, sort, classify and archive mail, notices and reports.
Organize and plan the activity of the association
Ensure the planning of appointments and business meetings
Contact people in order to make appointments
Prepare and organize the various meetings: notifications, preparation of pre-records, rooms reservation, reception of participants, etc.
Travel arrangements for employees and management
Manage purchase of office supplies and current operation of the office
Document and manage the activities of the association
Create, update, organize, archive, and track records and database of users and partner institutions.
Ensure note-taking during meetings, then draft reports.
Supply the performance indicators of the activity
Write all types of documents (letters, certificates, greetings, etc.)
