Overview of the position: To provide administrative and finance support to the SNAP project and to improve external communications, particularly around product publication.
Background/Context
The Strategic Needs Analysis Project (SNAP) is a partnership by ACAPS and MapAction, funded by DFID, SIDA and DANIDA, as well as being supported by iMMAP. It aims to strengthen the shared situational analysis of humanitarian responders by providing independent analysis of the humanitarian situation faced by those affected by the Syrian crisis. With the resurgent Iraq crisis, SNAP has evolved to cover the region more broadly[1]. To meet key information needs identified by humanitarian stakeholders, SNAP publishes a monthly and more in depth, quarterly, Regional Analysis for Syria (RAS) with information on the humanitarian needs resulting from the Syrian crisis, scenarios outlining how the situation might evolve, as well as thematic reports on specific subjects, including on different affected groups. The information in these reports is primarily based on secondary data. SNAP also seeks to engage as broad a range of actors in humanitarian analysis to improve the shared situational awareness, improve analysis capacity and foster information exchange.
SNAP also aims to increase regional capacity to carry out analysis and assessments with a range of capacity building activities including training delivery, review of assessment plans and procedure and the provision of technical assistance to the humanitarian community with Joint Rapid Assessments, such as those undertaken in Northern Syria in February and May 2013 (J-RANS I and J-RANS II) in November 2013 (SINA) and October 2014 (SINA II).
Tasks and Responsibilities
Administration
Enhance and maintain SNAP’s file sharing system on Dropbox
Maintain and update all SNAP records including personnel planning, records of products and team workplans/timesheets
Liaise with NRC in country offices and Oslo to ensure admin and finance procedures are correctly followed
Manage travel requests including flight & hotel bookings
Organise SNAP events, including internal workshops, external training courses, product launches etc
Manage all aspects of SNAP office in Beirut
Finance
Complete all procurement requests for the project, in line with NRC policy
Oversee completion of paperwork for national staff claims, payment of invoices etc
Communications
Lead the process of developing a communication strategy for SNAP products
Manage the SNAP twitter account
Liaise with SNAP Geneva to promote SNAP products via social media and email
Maintain SNAP’s section of the ACAPS website
Translate documents as required
Other duties
Travel within the country and the region upon request by the line manager
Other tasks as directed by the line manager
Requirements and Qualifications
Essential
5 years’ experience of providing administrative and finance support, preferably in the humanitarian sector
Considerable experience of maintaining and developing administrative systems
Considerable experience organising events such as workshops and training courses
Excellent communication skills
Excellent writing skills in Arabic
Excellent writing skills in English
Excellent IT skills (Microsoft office Package)
Desirable
Experience of working in the humanitarian sector
Experience of using social media to promote an organisation’s work and products
IT skills with indesign, illustrator, photoshop or other similar publishing and graphic design software
