Logistician

Purpose / Objectives: The Logistician is responsible for supporting INTERSOS management staff in the professional and efficient implementation of all logistic activities related to the needs of the office and of project implementation. S/He is in charge of tasks concerning warehouse and supply management and distribution, orders and purchasing, support staff supervision and fleet management. Responsibilities/duties: Assist the Project Manager and Community Services Officer in all logistic aspects of INTERSOS activities in Zahla Sub-Office and related centers Participate in staff coordination meetings and contribute to/follow up all logistic issues Be in charge of all custom clearance procedures when necessary and maintain relationship with competent authorities Check the proper functioning of stock procedures (in/out registration), check of stocks on a regular basis and report to the immediate supervisor Follow up and update regularly (minimum once a month) the inventory of materials and equipment (project related, in hard and electronic copies) and communicate with logistician colleague in charge of INTERSOS inventory for all Zahla sub-office Check and maintain properly the Community Centers (building, electricity, plumbing, equipment etc.) and report eventual problems to the immediate supervisor Arrange and update all logistic files and documents in proper archives (digital and hard copies) Prepare, get approval, make orders and proceed to local purchase strictly according to established INTERSOS procedures Execute and follow up all procurement procedures (bids, offers, appraisals of quality and price) and follow-up with Project Manager and admin-fin department for the preparation of contracts with awarded suppliers, and accordingly follow-up on contract signing and document/payment delivery and collection Organize and supervise all logistic aspects and documentation for good/supplies transport together with PM: way-bills, packing lists, final delivery/distribution records; Prepare travel arrangements, in coordination with logistician colleague in charge of INTERSOS movements/car park for all Zahla sub-office; to project sites and any other location, when needed Report any problem or irregularities to the immediate supervisor Maintain the equipment and the purchase of new items in coordination with the Project Manager, and the Administration. Conduct bookings and reservations of events and venues, per established INTERSOS procedures Driving and running errands upon request Ensure weekly & monthly needs mapping per project team, to ensure grouped purchases, where possible and relevant Ensure regular rent, utilities payments (electricity, water, gas, etc.) and running costs are paid (upon approval of PMs for direct activities related cost & approval of HoB and HoM for support costs) Compile an established supplier list per base, in coordination/cooperation with admin-fin department for goods, services and suppliers Ensure detailed and orderly record keeping and filing Perform other related duties as required The logistician undertakes to fulfil these tasks and to respect and keep any confidential information relating to the local partners and INTERSOS beyond the reach of any third party. Furthermore the logistician strictly adheres to INTERSOS internal rules, in particular the section 8 (Use of INTERSOS property) and section 9.b. (0 tolerance for misconduct). Qualification and skills: -       Demonstrated excellent computer literacy (Excel, word, PPT, e-mail) -       Good command of spoken and written English -       Arabic native speaker -       Valid driving license since min. 1 year -       Degree for completing high school -       Minimum 1 year of relevant working experience within the logistics sector (INGO or private company)   Skills and traits: -          Excellent communication and organization -          Excellent knowledge and understanding of local communities and customary rules -          Punctuality and respect for applicable rules and procedures -          Attention for details and quality -          Strongly objective and impartial reasoning -          Ethical and transparent decision-making -          Independence, i.e. conducting tasks with minimal supervision, and stress resilience -          Self-motivation, goal/result-orientation and team work -          Flexibility, tolerance and maturity
