We are seeking a full time Administrative Assistant for our project in Akkar entitled "Youth for Local Governance". This project is targeted towards Akkar youth to enable them to gain skills and knowledge in local governance in order to promote innovative electoral frameworks to address gaps in electoral reform. This position is based in Akkar, North Lebanon.
RESPONSIBILITIES:
- Providing administrative assistance to the stakeholders of the project by executing promptly required administrative tasks.
- Handling Incoming and outgoing communication including phone calls by distributing properly the message or task received.
- Handling Incoming and outgoing emails/couriers/faxes/letters by determining appropriate referrals and ensuring proper archiving according.
- Taking Care of all Clerical/Administrative Tasks: Photocopy, Scanning, Typing and Archiving.
- Monitoring and maintaining office supplies and prepare purchase order for Office stationery, Kitchen orders and WCs orders by handling the communication with the suppliers.
- Greeting and meeting inside and outside project stakeholders and visitors.
- Coordinating , organizing and Attending in-office, external coordination meetings and any other project activity as requested by the PM.
- Supporting the team in getting familiar with the Program system including all forms & sheets and reporting channels and deadlines.
- Ensuring that the office environment is up the required standards.
PERSONAL SPECIFICATIONS:
- University degree;
- Experience in bookkeeping and accounting systems or other administrative experience;
- Good command of Microsoft Office tools: MS Word, PowerPoint, Excel, Access, Outlook, etc…;
- Fluency in written and spoken Arabic & English is a must (written and oral);
- Lebanese citizenship;
