Accountability (key results that will be achieved)
- Keep abreast of all developments in the region of operation to assist in preparing regular and timely updates, appropriate briefings, talking pints and reports for the Head of Sub-Office (HOSO).
- Assist the office in consolidating and analyzing trends and information on the operation at large and assist in the preparation of periodic reports, minutes of key managerial meetings and any related documentation required by the supervisor.
- Creating accurate and attractive data presentations for both internal and external audiences, with strong use of data visuals and interactive displays.
- Maintain working relationships with all UNHCR team and other stakeholders.
Responsibility (process and functions undertaken to achieve results)
- Prepare and distribute minutes of the coordination meetings held in the area of operation, prepare draft correspondence for HOSO while keeping partners updated on important developments and announcements.
- Support the management of the daily flow of information from UNHCR staff and partner organizations to the HOSO by reading all relevant reports and documentation and highlighting key aspects so as to facilitate the timely follow up of urgent demands.
- Collect and compile contributions from various units when multifunctional responses, documentations and reports need to be developed.
- Assist in cataloguing all official documentation, policies, strategies and instructions presented by the Head of Sub-Office or shared by BO.
- Confer with sector leads and Heads of Units to secure timely information relevant to matters requiring action, decisions, or the signature of the supervisor.
- Assist the supervisor has supporting document relevant to meetings and mission by drafting talking points, by researching relevant information, and by establishing contacts (in and out of UNHCR) in key areas or offices.
- Accompany the HOSO to meetings and on missions, taking and preparing notes on discussions and during meetings, ensuring follow-up for all matters raised.
- Perform other duties as requiredestablishment/maintenance of appropriate sectoral coordination mechanisms, including working groups at the national and regional and, if necessary, also at the local level;
