Job Summary
This Zahle based position contributes to the mission of the organization by coordinating operational aspects of Medical Teams International’s Syrian refugee response field programs, including: implementing the country strategy, facilitating administrative office functions, representing MTI to key stakeholders in Lebanon, coordinating international volunteer and staff travel, providing financial oversight and accountability of MTI resources in line with program budgets, and reporting regularly on program activities.
RESPONSIBILITIES
Essential Duties and Responsibilities:
Represents Medical Teams International to partners, government agencies, and international organizations, and participates in coordination meetings.
Manages the office environment for MTI / Lebanon.
Facilitates staff administration by orienting, training, monitoring results, enforcing policies and procedures, and assisting HR functions for employees.
Completes project activities by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; and monitoring results.
Ensures that standard procurement practices are followed while negotiating price, quality, and delivery, and approving invoices, and managing annual operative budgets.
Assists Medical Teams International colleagues with content development for project or grant proposals.
Provides advice to the ERGS Director on administrative and logistic matters.
Coordinates medical education seminars with local PHC clinic partners.
Facilitates logistics for international volunteers and staff.
Coordinates refugee referrals for dental care.
Submits required program and operational reports according to Medical Teams International and/or donor standards.
Contributes to the development, maintenance, and implementation of effective security risk management policies and procedures.
Ensures compliance with Government laws and policies in Lebanon, and with Medical Teams International’s internal policies and procedures.
Manages the in-country NGO registration process.
Conditions of employment:
Starting: 1 August 2014
Contract: Employee, one year fixed term contract, renewable
Full time, working hours 8.30 – 5.30, one hour lunch break
Post based at the MTI office in Zahle. Frequent travel to supported tented settlements.
Essential Minimum Qualifications Required:
University Degree in Management or related field
Experience in office management, 2 years minimum
Proficiency in computer applications: Excel, Word, Email
Ability to travel to project locations on a regular basis
Ability to evaluate and summarize project data into cohesive reports
Ability to work under pressure, managing a varied workload
Strong attention to detail and report writing skills
Sensitivity to the needs of refugee beneficiaries
Understanding and alignment with the mission of Medical Teams International
Desired Qualifications:
Prior international NGO experience
Arabic fluency, good knowledge of English; knowledge of French a plus
Financial Management skills and the ability to contribute to the budget monitoring process
