Reporting Officer

I. Assignment: The Reporting Officer will provide writing and assessing reports and documents related to projects development. The Reporting Officer will provide gathered resources and researching, updating projects information, monitoring the flow of information,gathering documents, briefing and editing concerned information. II. Working Relations: Internal -   Country Director -   Program Coordinator -   Area Coordinators -   Program Development Officer -   Country Finance Manager -   HR / Administration Officer -   Compliance Officer -   Project Managers External (at the area level) -   Donors -   National and International Partners (including working groups and coordination bodies) III.Responsibilities:   Ensuring the production of timely, accurate and analytical interim and final reports for donors by: Understanding and disseminating donor guidelines; Liaising regularly with Programme Coordinator, area Coordinators, Project Officers and Technical Staff to ensure the production of quality reports across areas and across donors; Ensure the efficiency of the reporting system by creating internal procedures, time lines etc. Working closely with the finance department to ensure greater coherence between financial and narrative reports, and ensure steady cash inflow based on the timeliness and quality of report submissions.   Support the internal coordination and communication mechanisms by: Writing/ gathering the minutes of all meetings: Monthly Coordination Meetings, Weekly Area Meetings, FLAT Meetings, etc. Ensuring in particular that reporting guidelines, formats, philosophy, deadlines for each project/donor is communicated clearly and standardized across areas for new and ongoing projects; Drafting agenda and minutes of country-wide meetings andBeirutmeetings   Developing an external communications strategy by: Defining the main target groups, activities, resources and partnerships needed; Prepare journalists visits Work on visibility of ACTED and of the donors Update ACTED newsletter withLebanon stories Launching a series of Public Information activities, including an ACTEDLebanon brochure, formal presentations, media coverage on success stories, project-specific Newsletters, articles, publications, brainstorming sessions.   Editing and proofreading The reporting officer will edit all letters/ proposals etc. according to the Country Director/ Programme Coordinator’s request.
