ROLE PURPOSE:
The Distribution Coordinator oversees all distribution activities within an area of operations for SCI. This includes reporting and NFI warehousing. They are also tasked with liaison with other teams, planning for upcoming activities, and the strategic direction of distribution in that area.
KEY AREAS OF ACCOUNTABILITY:
Distributions
Manage the work of the Distribution Officer and more generally the distribution teams
Ensure correct documentation is recorded for all distributions
liaison between Supply Chain Officer and Distribution Officer to ensure a smooth supply chain from point of order through to distribution
Establish distribution plans in collaboration with programme teams that include both logistical and programme requirements.
Follow up distributions guidelines and protocols to ensure distributions are efficient and secure.
Train the distribution teams on distribution procedures and SCI policies
Warehousing and stock control
Ensure NFI warehousing in the area of responsibility is managed according to SCI’s Stock Management and Warehousing Policy, Warehousing and Stock Management Manual, and relevant donor rules and regulations.
Ensure full audit trail standard under donor regulations as well as Save the Children Internal Warehousing Procedures.
Establish warehouses and storerooms to receive all incoming goods as well as dispatch / facilitate distribution as required and follow up consumption rates to replenish stock on a timely basis.
Keep all relevant parties informed of supply pipeline
Reporting
Receive regular reports from Distribution team.
Collate and submit comprehensive warehousing and distribution reports to the Logistics Manager on a weekly and monthly basis or as required.
Other tasks
Feedback to Logistics Manager and Area Manager recommendations for improvement
Contingency planning & strategy – work with Logistics and Area Manager to define contingency planning for SCI operational areas, and strategic expansion
Feed into proposal development process
Liaison with the distribution and programmes teams and follow up an issues
QUALIFICATIONS AND EXPERIENCE
Essential
At least 6 months of experience in Distribution
At least 6 months of experience in working with an International NGO
Experience in warehouse and stock management.
Strong capacity building skills;
Patience, thoroughness, rigour.
Excellent IT skills.
Fluency in written and spoken English.
Proactive and result-oriented.
Commitment to and understanding of Save the Children aims, values and principles.
Desirable
Fluency in written and spoken Arabic
