Database Manager Assistant

In response to the current crisis in Syria, and the growing numbers of refugees coming to Lebanon, SIF is expending its humanitarian response and will scale-up its emergency support to Syrian refugees and affected population. In view of SIF operation scale up SIF is currently recruiting a Data Management Assistant (DMA), to begin immediately. The DMA will be based in the Beirut office but will support SIF’s field offices in Mount Lebanon. Furthermore, the DMA will be in contact with other SIF members, especially SIF Social Workers, to harmonize and share tools as well as lessons learnt. The DMA is part of the Syrian Refugee Support Programme team of SIF-Lebanon and will be under the line management of the NFI Project Manager . MAIN RESPONSABILITIES  The DMA is in charge of managing the beneficiary database of SIF-Lebanon for all emergency and recovery interventions. S/he will ensure that database integrity is maintained in line with data management protocols and reporting requirements. The DMA will be the primary staff responsible for consistent and timely entry of data. S/he will establish data entry workload according to work plans and request and train additional data entry clerks, if any. S/he will be responsible for all database updates upon completion of activities. With support from the NFI Project Manager the DMA will design relevant data queries in line with agreed beneficiary assessment processes, distribution interventions and reporting requirements. The DMA will coordinate data exchange with relevant agencies and peers upon validation of Program Coordinator. S/he will responsible for facilitating access to data for the SIF-Lebanon team, especially the Social Workers, while ensuring full application of relevant policies and procedures concerning data integrity, data confidentiality and data access. MAIN TASKS  DATABASE  SIF-Lebanon maintains a functional and coherent database of all beneficiaries of the Syrian refugee Assistance Programme:  Database maintained with high data integrity and data exchange requirements fulfilled Inputting data from field to MS Excel and setting up a complete new Excel database  Database maintained with high data integrity Data access protocols pertaining to confidentiality policies consistently applied REPORTING The DMO will assist the NFI Project Manager as required according to data entry work load and processes. Centralize all database and information available and relevant to your position Consolidating a weekly report (into the proper reporting format) to be delivered to the Head of Mission, Programme Coordinator & NFI Project Manager. Provide regular reporting on your activities to the Head of Mission upon his/her solicitation (coordination meeting, workshop meeting, etc.); PERSON QUALIFICATIONS Skills Must work well in a team context Able to work under pressure Ensure a good communication – coordination – information level of each member of your team through regular coordination meetings (or other if needed); Flexibility to operate in unpredictable and unsecure environment, flexible and good resistance to stress Demonstrate fairness and impartiality Effective liaison between supervisor and peers Problem solving and mediation; Ensure conflict resolution (personal and professional) within your team and inform the Head of Mission; Qualifications, experience and competences University degree in Business Management, Information Systems or other related field an asset Min experience of 1-2 years in data management Basic understanding of humanitarian principles and humanitarian processes. Experience within another INGO desired, but not mandatory Excellent command of English and Arabic (speaking and writing), French an asset Confident and proficient in the use of MS Office, especially Access, Excel, Word, and SQL Special knowledge in data management, database design an asset Experience of a flexible approach to managing and prioritizing a high workload and multiple tasks in environment with tight deadlines Experience of proactively identifying and addressing issues, proven problem solving and organizational skills.
