- Sorts and prioritizes all incoming correspondence, telexes, reports, etc. and directing to other responsible staff members where necessary; - Drafts routine correspondence based on instructions provided by the supervisor or based on background information available on office files; - Maintains calendar of appointments and schedules of meetings and travel for supervisor, performs clerical tasks -Makes or answers telephone calls for supervisor directing the caller to the responsible officer concerned and/or taking message and providing general information; -Provides general secretarial support to visiting staff members, maintains correspondence, reports and confidential files; -Maintains chronological file and float file for weekly circulation; -Utilizes office equipment, word processor, and telex/sitor machine as requested; -Handling clearance of incoming shipments for both office equipment as well as personal belongings of International staff. -Act as the focal point to liaise between the shipping companies and staff members -Handling issuance and renewal of residency permits for International staff members and their dependents -Handling incoming and outgoing pouch and fast courier (FedEx) -Handling issuance of UN ID card for newly recruited staff and newly re-assigned International staff -Assisting the different units in reaching out to a specific group of Refugees for a certain exercise for ex, File review, RSD backlog, Community Services in identifying and cross-checking addresses and contact details of persons where it was very difficult to reach due to inaccurate data. etc. - Assisting the Senior ICT clerk in paperwork for the custody of Radio and Thuraya equipment
