Assistant Coordinator (Administrative, Logistics And Translation)

I. CONTEXT Asmae - Association Soeur Emmanuelle is an international development NGO specialized in child development. Asmae was created in 1980 by Sister Emmanuelle and is an independent, non-religious and non-political organization. Our actions aim at the development of underprivileged children, taking into account the child and its environment, in order to enable each child to choose and build his/her own path to autonomy Asmae supports educational, sanitary and psychosocial activities for underprivileged children in Burkina-Faso, Egypt, India, Lebanon, Madagascar, Mali, Philippines, Sudan and France. Our philosophy is to work closely and in partnership with local organizations. We always consider the economic, cultural, social and familial contexts in our programs, trying to find sustainable solutions to the difficulties faced by the children. Asmae in Lebanon Present in Lebanon since 1986, ASMAE - Association Soeur Emmanuelle works in partnership with 6 local organizations in the fields of Education and Psychosocial Support. Our work is mainly concentrated in urban areas (Beirut, Zahle, Tebnine), and in the most disadvantaged regions (North Bekaa and South Lebanon). Asmae’s intervention is to support local partner associations, through financial and technical support, including strengthening capacity building of teams on different thematics and organizational needs. Asmae’s intervention Lebanon is defined by: • Education: Citizenship and youth led initiatives, access to quality schooling, special needs education • Psychosocial: Support for child victims of abuse • Organizational support: project management, governance and organization II. MISSIONS Under the supervision of the Asmae Country Coordinator, the assistant will be in charge of:  • accounting, administrative and logistical management of Asmae’s office • administrative monitoring of sponsorship programs and technical support to partners. • Interpretation and translation - Arabic / French / English    III. DESCRIPTION OF ACTIVITIES Accounting, administrative and logistics for Asmae’s office: Recording of all expenditures and cash flow in Asmae’s accounting reporting tool (office rent, travel expenses, purchase of equipment, etc.). Filing and archiving documents, bills, etc. Preparation of cash flow requirements for the office and requests for funds transfers at Headquarters. Logistics management of the office (post-office, purchasing office supplies, making contact with partners, etc.) Managing relationships with different providers (IT, various repairers, donors, paying bills, etc.). Monitor Asmae’s registration procedure with the competent authorities and providers (lawyer, translator, etc. . .) and renewal if needed. For local staff, if necessary, management of declarations, pay slips and payment of social security contributions. Monitor relations with the competent authorities for visas for expatriates. Administrative monitoring of sponsorship programs Managing and monitoring the lists of sponsors, individual records of children starting the school year and ensuring updates in collaboration with the partner(s) Support the Coordinator, in capacity building of partners to develop their reporting skills and / or other documents to sponsors (implementation of documents such as newsletters , description of activities, monitoring indicators ... ) Management of communications between partners and volunteers in charge of sponsorship in headquarters (narrative reports, news, annual letter, etc.). Translation / interpretation Ensure timely simultaneous interpretation (French/Arabic or English/Arabic), during appointments with Asmae partners or resource persons. Translate documents at the request of the coordinator. Contact with other interpreters or translators if needed. Other activities Check at least once a year each partners’ accounts for sponsorship. On a punctual manner, logistics management for arrival of teams, journalists, photographers and other persons sent by the Headquarter (booking of accommodation,... ) Liaison between the communication department and partners for the elaboration of  communication tools Support in the development of partnership contracts. All other administrative and / or logistical tasks   IV. POSITIONING Supervisor: country coordinator. Complexity of the position: Computer skills necessary. Basic skills in administration and accounting. Skills in interpreting and translation                                                                                                                       Level of initiative – Autonomy: Low level of autonomy Supervisor’s authorization required before commitment of expenditure Fiscal Responsibility: none   V. PROFILE Education and experiences: • Administration, accouting or related field • Experience: minimum 2 years in administrative, logistical and / or financial • Excellent written and oral command of Arabic • Fluency in French and English written and spoken Professional skills • Good knowledge of office package (Word and Excel) • Good writing skills ( spelling and style ) • Excellent organizational skills Personal skills • Very good interpersonal skills • Autonomy and proactivity • Rigor • Teamwork  VI. PRACTICAL INFORMATION   Working Time: Part-time 1.5 days / week
