Assistant Logistician (Based In Zahle)

Main Objectives: The Assistant logistician is responsible for assisting the management staff in the professional and efficient implementation of all logistic activities related to the needs of the office and of the projects. He/she is in charge of tasks concerning orders and purchasing, as well as transport, storage and distribution management. Reporting to: The Food Security Programme Manager, to whom he/she submits a written monthly report elaborated according to a standard form/template. Copy of the report has to be submitted also to the Head of sub-Office in Zahle. Specific duties and responsibilities: Assist the management staff in all logistic aspects of INTERSOS activities in the area of responsibility; Participate in staff coordination meetings and contribute to/follow up all logistic issues; Be in charge of all custom clearance procedures, travel permit and maintain relationship with competent authorities; Check the proper functioning of the storage procedures (in/out registrations), check stocks on a regular basis and report to the immediate supervisor; Follow up and update regularly the inventory of materials and equipment (office and project related, in hard and soft copy); Check and maintain properly the office, the store, the centers and the guesthouse conditions (building, electricity, plumbing, equipment, etc.) and report eventual problems to the immediate supervisor; Arrange and update all logistic files and documents in proper archives; Prepare, get approval, make orders and proceed to local purchase according to established procedures; Execute and follow up all procurement procedures (collection of quotations, bids, offers, appraisals of quality and price); Organize and supervise all logistic aspects and documentation for good/supplies transport: way-bills, packing lists, final delivery/distribution records; Plan and supervise the work of the support staff; Check and supervise the proper functioning and maintenance of vehicles and generators; Prepare travel arrangements to project sites and/or any other locations (check-up vehicles conditions, fuel, radio, drivers, etc.); Register all the daily movement of the staff; Check on a monthly basis the emergency kits and tool boxes in the office, in the centers and in each vehicle; Check and supervise the proper use of log books for each vehicle; Supervise and keep daily updated records of IN/OUT movements and prepare reports as instructed; Report any loss or missing item to the immediate superior; Support the organization activities by supervising the distribution of items to final beneficiaries and verify the respect of agreed rations and rules; Any other task not here listed and necessary for the implementation of the project and activities. Technical and behavioral competencies required: Ability to set high standards for quality of work; Good communication skills, both written and oral; Mastery of IT tools (MS Office package, internet, e-mail, etc.). Strong organizational and problem-solving skills with analytic approach; Ability to integrate and work well within multiethnic and multicultural teams; Ability to achieve results effectively, considering the need for speed, scale and quality; Ability to develop and maintain collaborative relationships.
