Finance Assistant

PURPOSE:  The Finance Assistant provides support to the Finance Department in the delivery of finance services in support of the zone’s operational programs.   Specific Duties & Responsibilities: 1- Responsible for all aspects of petty cash: ŸReceipts into and payments out of petty cash, including ensuring that all transactions are correctly authorized and fully documented Preparation of daily journal vouchers for both receipts and payments Daily cash count and reconciliation to journal balances Maintain cash books on a daily basis 2- Preparation of checks/bank transfers for signature: Ensure all checks requests are checked by the Senior Finance Officer Prepare bank journal and ensure all supporting documentation is attached Present checks for signature and pass signed checks to concerned person Ensure receipted copy of checks is attached to bank journal 3.   Prepare VAT claims on a monthly basis. 4.   Daily data input into CODA system and filing of CODA documents: Ensure document is authorized by Senior Finance Officer before input into CODA Current month originals to be filed according to standard filing system After month end closure, ensure that all originals are copied and filed to the same system for retention within the delegation. Ensure that originals are securely packaged/labeled, and sent toGenevaon a timely basis 5.   Assist with preparation and coding of journals where necessary. Review outstanding balances on a monthly basis, in conjunction with the Senior Finance Officer. 6.   Prepare requisitions for stationary for Finance department. 7.  Coordinate and liaise with Admin and Suppliers to reconcile and keep accounts up-to-date. 8.  Any other tasks assigned by the Senior Finance Officer as required. 9.  Upon need and request, serves as acting on behalf of the Finance Officer regarding certain duties and responsibilities as appointed at the time.   Qualifications: Accounts/Finance/Business Studies  Diploma or any appropriate professional qualification in Finance. Appropriate computer knowledge related to Finance. Experience: At least 2 years experience in finance/accounts. Competent in Financial Control and reporting at all levels Experience of working with the Red Cross or with another humanitarian or international  organization an added advantage.  Skills: Excellent knowledge in computer applications (Windows, spreadsheets, word-processing, Pastel) Core competencies: Skills in fulfilling an advisory/supporting role.
