Administrative Assistant

    Safe Citizen was created by a group of devoted people working together to achieve every citizen’s dream of a better life. These people are trusted by the public for their honesty, integrity and wide experience. We intend to work as a Lobby, pressuring the government institutions, corporations, etc. until practical solutions are put in place. There are many issues to address, however, we decided to focus on certain priorities: to begin with, combating corruption in importing, controlling and distributing prescription Drugs, then, dealing with Air pollution andrelated problems and finally, tackling Water pollution and water impurities. To be able to find solutions to these problems, this requires rigorous study and research, newlegislation, and increased public awareness.     Tasks and Responsibilities:    Manage Petty cash (Prepare, record and maintain all Petty Cash  disbursement   vouchers) Prepare invoices, reports, memos, letters, financial statements and other documents. Schedule meetings; prepare meeting agendas and minutes of meetings. Prepare meeting documents and materials and distribute in a timely manner and ensure that meetings are documented and shared as appropriate Follow up on projects to determine whether they adhere to a predetermined project completion date and progress. Monitor costs, timeframes and resources used, and report to President where these deviate from agreed tolerances. Advise “president” of progress in implementation of Annual Action Plan on weekly basis. Prepare ground work for annual budget development and ensure approval of same. Build relations with NGO’s in order to adopt new ideas / exchange experiences and methods, and develop relations with publishing and printing houses. Supervise technical arrangements during seminars and public meetings. Manage proper filing systems( Set up and maintain paper and electronic filing systems for records, correspondence, and other material) Other functions as requested by President or his representative.     Skills and Requirements:    Computer skills: Microsoft word, Outlook, Excel, PowerPoint, Internet surfing (Facebook, Twitter, Website, etc.) Administrative and clerical skills Typing( English and Arabic)  Bookkeeping Skills  Problem solving skills  Effective verbal and listening business communication skills  Stress management skills/working under pressure Time management skills  Efficient and well organized Discernment (knows what is important and which mail to be forwarded to the boss etc)   Promptness Excellent people skills
