Field Assistant

Responsibilities and Tasks Description: The Field Assistant will be required to undertake extensive field work assisting Program staff in implementation process of trainings. Works in close cooperation with Monitoring and Training Coordinator, Program Coordinator and Program Manager in the overall implementation of trainings/ workshops/ events. Plans, organizes and leads the bid solicitation process including drafting and issuing needed documents, quotations, bid evaluation process and guiding clients on processes involved; Prepares all necessary logistics for the implementation of vocational training workshops and ensures completion on time. Prepares Request for Quotations, Gets bids from vendors, evaluates bids and recommends best options. Develops status reports, updates and other documentation on component activities as needed. Ensures that a transparent and responsive procurement process is implemented according to IRD standard procurement policies and procedures The post holder will work with discretion, confidentiality and transparency and to be fully compliant with the IRD Policies. Maintains ethical and professional working relationships with vendors Assists in monitoring process of trainings in daily basis Communicates effectively with vendors and maintains good working relations with all members of staff and beneficiaries. Maintains routine communication, coordination and planning with the relevant field and program staff Works closely with the Monitoring & Training Coordinator and Program Coordinator in developing the schedule for field visits , dispatch plan for implementing the events Understands the vocational training materials. Reports to the Program Coordinator Maintains an updated database of all vendors information Undertakes, upon request, every other activity that may be necessary as requested by the Project.     Selection criteria/Qualifications:  Excellent communication skills (oral and written) with ability to work effectively with colleagues at all levels. Significant background on field, procurement and logistics. Ability to gather data from a wide range of sources in different areas in Lebanon Ability to work on a number of different tasks simultaneously, respecting deadlines and keeping colleagues updated on progress Attention to detail; and accuracy of information Possesses strong analytical skills, organization skills and excellent communication skills Ability to work effectively with a wide range of people in a confident, friendly and tactful manner Essential Computers skills (word, excel, power point, etc.)
