Distribution Assistant

Save the Children has been operating in Lebanon since 1999 and is recognized for its commitment to accountability, innovation and collaboration.  Save the Children currently implements programs in Child Protection, Education, CRC, Health and Nutrition, Food Security & Livelihood, Shelter, and Emergency Response throughout Lebanon.   Save the Children is seeking qualified candidates to fulfill the following positions, for its Lebanon Country Office, in the following locations Beirut, Tripoli, Akkar and Bekaa:   ROLE PURPOSE: The Distribution Assistant manages distributions to beneficiaries at various sites pre-identified by SCI. They are responsible for ensuring a smooth distribution, that the correct amounts are requested and delivered, and that the correct documentation is kept relating to the distribution.   KEY AREAS OF ACCOUNTABILITY:   1. PREPARATION Receive the distribution list from the programme staff Prepare the stock release request in collaboration with the programme staff. Collaborate with the Supply Chain Officer to prepare trucking and loading plans. Prepare goods delivery in collaboration with the Warehouse Assistant Establish the distributions plan according to logistical means and programme requirements. Prepare and organise the distributions with the programme staff.   2. IMPLEMENT AND SUPERVISE THE DISTRIBUTIONS Arrive to the distribution site in advance of the items to be distributed Liaise with local authorities and local leaders to ease distributions Ensure site is clean and adequate to accommodate the distribution Ensure a queue system is established when necessary Ensure the correct distribution documentation is signed by beneficiaries Ensure stock left over at end of distribution are returned to SC warehouse and accounted for   3. REPORTING REQUIREMENTS Ensure distribution lists are signed by beneficiaries and recorded and filed Daily summary of activities to the Distribution Officer Weekly report of the distribution activities sent to the Field Manager and relevant programme staff. Monthly report of the distribution activities based on donor requirements (e.g. WFP, ECHO) re. formats and policies.     QUALIFICATIONS AND EXPERIENCE Essential Relevant experience in distributions Proven strong administrative skills Able to deal well with stress and refugee population Fast learner Computer literate, with good knowledge of excel Written and spoken English and Arabic Good communication and      interpersonal skills and ability to work in a multi-cultural environment. Level headed, able to take swift      decisions, able to remain calm and achieve results under heavy pressure A proactive person with      initiative, drive and honesty with high level of integrity, who can      perform and meet expectations with minimal supervision;   Desirable Experience of one or more of the following: asset management, procurement or warehousing, basic knowledge of mechanics and general issues or best practice for effective fleet maintenance.
