Fleet Assistant

Save the Children has been operating in Lebanon since 1999 and is recognized for its commitment to accountability, innovation and collaboration.  Save the Children currently implements programs in Child Protection, Education, CRC, Health and Nutrition, Food Security & Livelihood, Shelter, and Emergency Response throughout Lebanon.   Save the Children is seeking qualified candidates to fulfill the following positions, for its Lebanon Country Office, in the following locations Beirut, Tripoli, Akkar and Bekaa:   ROLE PURPOSE:   To coordinate vehicle & staff movements, manage the fleet and cover efficiently transport needs of our programs and operations.   KEY AREAS OF ACCOUNTABILITY: . 1. DAILY MOVEMENTS Ensure that the base movement board is kept up to date at all times Ensure drivers are well briefed on journeys to be made Ensure that cars leave and return on or very near the times specified by the requester. Report to the Logistics Coordinator all cases of unlisted passengers, late departures or late arrivals. Ensure no vehicle is dispatched without approval Monitor and record where vehicles are at all times   2. WEEKLY PLANNING Coordinate vehicle movements and tracking all Save the Children vehicles Communicate the week movements plan to all staff and drivers on a timely manner.   Receive and process vehicle requests, ensuring they follow authorization procedure containing full information.   3. DRIVERS Brief drivers after they are recruited or hired on SCI policies, procedures and rules Supervise and monitor drivers, and ensure rules are being followed correctly Hold regular briefings with drivers to update on security, routes, and other information   3. FLEET MANAGEMENT Ensure policy and guidelines for Fleet management are followed Ensure safety standards in all vehicles and drivers Ensure vehicles are correctly equipped Support and follow up on maintenance / repair activities Monitor vehicle rental contracts and liaise with the Vehicle rental agencies to ensure conditions and contractual obligations are met on both sides. Ensure the legality of the fleet, checking up to date original documentation is present, verifying insurance for all vehicles Monitor maintenance costs and fuel consumption of vehicles on and inform the Logistics Coordinator whenever costs exceed normal rates and standards. Analyse movements, including patterns of dispersal and collection, to ensure efficient use of vehicles   5. OTHER Support the Logistics Coordinator with the management of Assets Carry out any other transport related tasks as requested by the Logistics Coordinator.   QUALIFICATIONS AND EXPERIENCE AND ATTRIBUTES   Essential Experience in fleet management, preferably in a humanitarian or development context. Level headed, able to take swift decisions, able to remain calm and achieve results under heavy workload. Experience in management of staff. Ability to command respect from drivers. Understanding of logistics systems and procedures around fleet management. Ability to apply these in an honest and transparent fashion. Strong communication skills including the ability to liaise with all levels of staff and keep them informed of vehicle issues that may affect them. Computer and organisational skills including the ability to keep up to date and accurate records in different formats (log books, whiteboards and spread sheets) Reporting skills in Excel – ability to provide clear, concise and relevant analytical reports as requested. Good written and spoken English language skills Understanding of and commitment to Save the Children’s aims, values and principles.   Desirable NGO experience Security experience Basic knowledge of mechanics and general issues or best practice for effective fleet maintenance.   APPLICATION PROCESS   Please note that the closing date for applications is: For External applicants on October 6th  .                    The selection committee will review all applications as they are received.
