The Danish Refugee Council (DRC) is a humanitarian, non-governmental and non-profit organization, founded in 1956, that works in more than 30 countries around the world. DRC has been operating in Lebanon since 2004, working with Palestinian and Iraqi refugees, as well as Lebanese communities affected by the war in 2006. DRC is committed to basic humanitarian principles; including impartiality and neutrality, and offers the highest standards of accountability to the people it serves.
DRC Lebanon has been assisting the Syrian displaced, fleeing Syria into northern Lebanon, since May 2011. This assistance has come through the provision of food and non-food items, various outreach activities (registration, follow-up and awareness sessions) rehabilitation of collective shelters and the implementation of quick impact projects.
DRC is inviting local candidates to apply for the position of Admin Assistant - Akkar to support its activities.
General Responsibilities:
Administration
Assisting the Admin Officer in keeping the Admin and HR filing system, soft and hard copies
Assist in the preparation of Admin reports when needed
Prepare and update the administration work plans in coordination with the Admin and HR team.
Support the other Admin staff on following up on DRC staff travel, hotels and flight booking.
Managing use of mobiles and communication allowance of DRC staff in coordination with Finance team
Do photocopying and other office work.
Staff
Follow up staff leaves and vacations.
Filling all staff contracts.
Assist with Job description, recruitment,
Follow up on staff time sheets and donor allocation
Maintain staff files.
Office management
Ensure the well maintenance of the office
To manage the office space properly enabling employees to fulfill their tasks
Ensure that all equipments are working properly
Being responsible of running the office work on a daily basis
Preparing for meetings
Order stationary and other items, as per instructions
Order equipment and material for the office
Guesthouse management
Ensure the well maintenance of the Guesthouse
Ensure that all equipments are working properly
Preparing for new guests coming to the guesthouse in coordination with the Admin Officer and the cleaner
Other
Any other duties relating to the nature of the ob as directed by the Head of Admin.
The Admin Assistant reports directly to the Finance/Admin Manager and works in close collaboration and coordination with the Admin Officer.
