Office Clerk Première Urgence - Aide Médicale Internationale (PU-AMI) is a non-profit, non-political and non religious humanitarian NGO. Its objective is to bring about a global response to the basic needs of populations suffering from acute humanitarian crisis and to allow them to recover their autonomy and dignity.  Today, PU-AMI is intervening in 22 countries in Africa, the Near East, Caucasus, Asia and the Caribbean to cover the needs of populations affected by conflict, natural disasters or economic crises.        PU-AMI in Lebanon  PU-AMI has been active in Lebanon by implementing emergency and recovery projects in Water, Sanitation and Hygiene, Shelter Rehabilitation, Food Security  and in Livelihood Recovery sectors.  PU-AMI has launched a project in support of the areas affected by Syrian refugees’ influx in Beirut,Chouf and Saida areas. The project includes sealing off, sanitation facilities upgrading, and Hygiene promotion campaign, filter distribution and winterization activities. PU-AMI has also launched projects in Akkar district, in support of the areas affected by Syrian refugees. The projects include shelter rehabilitation works, and water and sanitation activities.  PU-AMI is currently setting up an Emergency Response Mechanism (ERM) in order to address the immediate WASH needs of the Syrian refugees in the North, Center and South of the Country. This project aims at creating an emergency cell at Beirut level with adequate needs (HR, logistics, equipment…) allowing a 24-72 hours response to identified acute humanitarian situations. In terms of geographical coverage, PU-AMI proposes to cover all current districts where it has ongoing WASH activities i.e. Akkar, Minnieh-Dannieh, Saida, Chouf, Aley, Baabda and Beirut.   POSITION GENERAL INFORMATION Ø Starting date: 16th of September Ø Duration: 3 months renewable Ø Based in: SAIDA   OVERALL MISSION  General objective  The Office Clerk is responsible to welcome any visitor in the office (beneficiaries, INGO, LNGO, donors, suppliers,) and to direct them to the right person. He/she is responsible for receiving the calls of the hotline and the office line. He / She is also responsible for the correct and timely computerization of all data collected at field level by the project staff. He / She participates in the design and improvement of the data entry tools at base level.   Responsabilities and tasks   Ø Receptionist   -         Answer the hotline calls. Be able to carefully and patiently answer to each call, remain professional and constant in his/her welcoming attitude. -         Answer the office main line calls. -         Analyze each case to provide the callers with the relevant information or refer them to the staff in charge when needed. -         Communicate the case to the relevant person in charge in a synthetic and coherent way. -         Fill the Refugees Cases Logbook with accurate data and report to his/her line manager on daily basis. -         Welcome all guests visiting the office with a professional attitude. -         Know and update the internal and external contact lists, when relevant. -         Keep maintaining a high level of knowledge of PU-AMI’s ongoing activities.   Ø Clerk / Data Entry Officer   -          Participate in the design of a database for the Needs Assessment Study -          Key in all data gathered in the field by the field officers -          Translate data from Arabic into English  and from English to Arabic (if the need be) -          To scan some important documents when requested -          Enforce the correct archiving of the documents -          Enter and manage data regarding all projects implemented in the area -          Support the data entry activities directly on the field (distributions site) when requested -          Attend meetings in order to write minutes when requested -          Give some support to the Human Ressources Department when recruiting new staff (phone calls, overseeing written test…)   QUALIFICATIONS   Mandatory requierements   Ø Language Skills: Fluent in English and Arabic, (speaking/reading/writing). Ø Education Degree: University Degree or Technical Diploma in a computer-related field Ø Work experience: Experience in NGOs/private companies in IT.
