Logistics Assistant

Première Urgence - Aide Médicale Internationale (PU-AMI) is a non-profit, non-political and non religious humanitarian NGO. Its objective is to bring about a global response to the basic needs of populations suffering from acute humanitarian crisis and to allow them to recover their autonomy and dignity.   Today, PU-AMI is intervening in 22 countries in Africa, the Near East, Caucasus, Asia and the Caribbean to cover the needs of populations affected by conflict, natural disasters or economic crises.   PU-AMI has been active in Lebanon by implementing emergency and recovery projects in Water, Sanitation and Hygiene, Shelter Rehabilitation, Food Security  and in Livelihood Recovery sectors.     OVERALL MISSION   General objective The Logistic Assistant has to ensure and support the logistics activities of PU-AMI base and programs in Saida. Responsibilities and tasks   Supply Chain and procurement Ø Supply Chain and procurement -      To supply items/materials according to base requests and orders (mission & program) -      To use PU-AMI supply chain and procurement’s procedures -      To identify and select suppliers according to PU-AMI orders -      To order items in other base if needed -      To control quality and quantity   Ø Archiving -      To archive and centralize logistic files -      To settle purchase files -      To gather archives from programs (with the Logistician support) -      To ship the archives to Beirut to be prepared to be sent to the Head Quarter   Ø Cars and transportation -      To ensure the good respect of PU-AMI transportation procedures and vehicles maintenanceCheck that the vehicle log books are in place and are used correctly -      Monitor the use of vehicles (consumption and mileage, damages, administrative documents) -      To provide items and materials from the supplier to the requester (including to the field if needed). Mostly for mission’s orders, could be done also for program if requested as a support from Project Manager.   Ø Equipment and buildings -      To follow up assets inventory -      To report on equipments list every 1 month -      To check physically the equipments every month and update the related list -      To dispatch the equipments on the base according to the needs (and to update equipment list accordingly) -      To inspect regulary the base offices and living accomodation to assess what work is necessary -      To draw up a list of needs and manage the stock of maintenance items and consumables -      To look after all material of furniture on the base, carry out minor maintenance and repair work as well as improvements to base premises -      Follow up the rents (office and flat) and fees (internet, electricity, water…for office and flat) payments and follow up of the office/flat maintenance (repairs, paintings…)   Ø Coordination -      To link with the Base Logisitician in Saida -      To attend program/mission meetings if needed.   Ø Security -      To share security information with the Base Logistician in Saida -      To follow up the security equipment management -      To understand and obey traffic law and regulations.   The tasks and responsabilities of the Logistics Assistant mentionned above are not thorough and may be subject to evolve depending on the needs PU-AMI may have.
