Finance / Hr / Administrative Assistant - Beirut

Doctors Without Borders/Médecins Sans Frontières (MSF) is an international medical humanitarian organization created by doctors and journalists in 1971. Today, MSF provides independent, impartial assistance in more than 60 countries to people whose survival is threatened by violence, neglect, or catastrophe, primarily due to armed conflict, epidemics, malnutrition, exclusion from health care, or natural disasters. MSF in Lebanon currently has 3 projects mainly on primary health care and mental health, in Saida, Tripoli and the Bekaa valley.    -Scope of responsibility: •          Responsible for a small cash box – cash book and informatic software related •          Check validation and prepare request for payments by cheque / transfer, to be submitted to Finance manager •          Responsible for deadlines and quality of both : paper accounting (vouchers) and electronic accounting (data-entry in software) according to MSF standards •          Responsible for performing all internal controls as per MSF guidelines and specific instructions received from the Finance manager manager. •          Ensure all validation & control of receipts, and payments to suppliers, comply very strictly with MSF financial guideline, and the purchasing / validation / payment procedures for the mission Administrative and legal framework •          Assures a proper salary management with our software for the coordination team. •          Ensures proper follow-up of HR administration related to National Staff in general and to international staff arrivals/departures and stay (personal folders…). •          Takes responsibility for all correspondance and filing of administrative documentation in the admin department coordination office. •          In charge of the phone-reception. •          In charge of small translation/interpretation if needed by the coordination team. •          Participates to qualitative appraisal and development planning processes, follow appraisal deadline for the coordination staff. •          Participates in the organization of training sessions and registration processes.
