The Finance & Admin Assistant is expected to represent Norwegian Refugee Council (NRC) Lebanon in a responsible manner and always to act in accordance with the NRC Code of Conduct.
JOB PURPOSE
To support the Finance & Admin Officer Lebanon with financial, Admin & HR routines.
To take responsibility for the daily financial, administrative & HR practicalities of the Tyr office.
DUTIES AND RESPONSIBILITIES
Finance:
To prepare projects related vouchers with all necessary supporting documents.
To ensure that expenditures from the main accounts are accounted in appropriate Budget lines and on relevant projects.
To Handle and file original and hard copies of all required documents according to NRC filing key
To prepare and handle cheques(field visits in order to pay for beneficiaries in the Tyr, Bent jbeil & Nabatieh area
Manage cost distribution and actual costs accounting on all active projects.
Daily handle cash and the cash box records for the Tyr “field office” in accordance with NRC regulations.
Administration:
Send and receive Emails from/to administration assigned account on daily basis. Dispatch of Memos, Emails, or other announcements internally and externally.
- Update monthly list of staff for Tyr office.
- Keep contact list for NRC national and International staff updated at all times.
- Make hotel accommodation for NRC staff and visitors.
- Attend meetings on request to take down minutes and be capable of editing, typing and circulation to participants concerned.
- Support when needed, translation, printing, binding etc
- Follow up trainings and workshops (Arrival of guests, transportation, accommodation, food, ad hoc requests, departure of guests, payments etc)
Logistics:
- To support in procurements: to issue requisitions ( stationeries, office supplies, kitchen supplies).To follow up on orders regarding visibility items, Id cards, business cards, printings for all NRC offices etc.
Finance & Admin Assistant must cooperate closely with The Logistics Officer to ensure that all financial transactions are accurate & well documented and that that all HR and personnel tasks and routines are in place
Personnel:
- To prepare all documents necessary for the administrative management of the national staff ( leave days, sick leaves …)
- Make sure the personnel files contain all documents necessaries according to NRC regulations and archive them properly
- Assist the Finance & Admin Officer to ensure implementation of the NRC Terms and conditions of employment, code of conduct and other employment guidelines.
- Support with recruitment of new staff in NRC Tyr
- Support in organizing and delivering trainings with NRC Lebanon national trainer
Fulfil any other related tasks that may be assigned by the FM.
