The Lebanese Center for Civic Education is seeking to recruit an administrative assistant/ accountant to undertake the following tasks:
Tasks
Management and Administration
In charge of day-to-day office management work, archiving, organizing mailings, documentation and all filing related to the Lebanese Center for Civic Education (LCCE) Human work including correspondence, press articles and pictures, etc.
Collects bids and quotations and archives all bills and expenses
Identifies the need for stationery, office supplies, material and items needed and coordinates purchases and settlement of the Organization’s office expenses.
Handles travel arrangements and guests’ accommodations.
Assists in the logistics and preparations required for all events, training, and activities.
Sends invitations related to events and follows up with confirmations.
Coordinates with the Lawyer for contracts and agreements
Manages LCCE Human Resources in coordination with the Executive Director
Accounting
In charge of the bookkeeping (accounts) of LCCE.
In charge of all payments, invoices and receipts related to the Organization’s projects, clients, suppliers and staff.
Controls the archiving of all financial documents
Enters all data into accounting analytical software accordingly and ensures all documents to be treated by association are legal
Controls the petty cash statement of the organization.
Supervises continuously the organization’s finances and proposes appropriate solutions for better financial management and efficiency.
Reconciliation of bank accounts
Financial monitoring of all running project’s expenditures as per approved budget lines.
Works closely with the executive director, or any project manager appointed by the latter to adapt budget phasing and planning
Provides consultancy in budget proposals development
Provides financial info or documentation upon request from executive director or any party appointed by the latter.
Reviews projects’ financial reports upon donors’ guidelines and regulations.
Prepares LCCE’s monthly and yearly financial reports and the coming year’s budget
Prepares reports, documents and information required by the organization’s Auditor
