Logistics /Security & Fleet Manager

Office management (cleaning, supplies, parking, furniture, security, PEP kits, fire extinguishers, maintenance, etc.)

-     Monitoring external calls & report back        accordingly

-     Ensure all FPSC valuable properties are stored in a secure location

-     Responsible for various key sets for the FPSC office

- Focal point to follow up on all the daily activities related to logistics & Drivers in all field offices

      Review the procurement for the kitchen suppliers and stationery

-     Manage the Monthly office payments (Electricity, Generator, Internet, Cleaner fees …)

Is the main person to help the logistics Coordinator in any new procurement by Colleting quotations, calling suppliers and ordering stuff.

Is responsible to Assign New laptops and Assets to any new employee and keeps track of all custodian Sheets

Have all the Assets lock in a safe place

Ensures all logistics operations are fully documented in a well-organized filing

System and are implemented in full respect of FPSC procedures.

Is responsible to update the allocations with the senior procurement officer.

Provide input to planning for procurements and the provision of advice to those making a procurement request, assist with processing the requests in accordance with the policies and procedures.

Maintain accurate filing systems, with documented and supported records of actions for audit purposes.

Prepare the Security Risk Assessment (SRA) for each site in the country

Prepare the Standard Operating Procedures (SOPs) for each site

Prepare the Contingency Plans-Evacuation and/or Relocation Plans

Provide advice on security related matters in Lebanon including: gathering information from other organizations and institutions, and representing FPSC in security meetings with other agencies, institutions and authorities, and using this information to inform analysis and program or movement planning.

Act as Security Focal Point for FPSC in the country

Monitor all national/international staff movement and facilitate security clearances for areas where required

Provide advice on the security of transportation and logistics

Responsible for complying with all the reporting requirements,

Initiate, review and collate security incident reports for each location

Publish regular security updates to circulate to forum members

Attend security meetings

Prepare the weekly situation report

-Supervising drivers in Beirut, Tyre, North and Bekaa – schedules, fuel, etc.  Liaising closely with the Logistics Coordinator on driving schedules

-     Preparing weekly travel schedule of the staff in conjunction with relevant departments

-     Coordinating with All the offices on vehicle routes and management

-     Dealing with the vehicle rental company in Beirut.

-     Direct supervisor of the Drivers in all the Field offices

-      Review the Logbooks for the vehicles on a monthly basis and approve the monthly vehicle report

- Focal point for all the daily schedules in all the field offices
