Procurement & Logistics Officer

Procurement Activities

  • Establish a clear procurement plan ensuring that requests are managed effectively ensuring sufficient time is provided to complete all necessary processes
  • Initiate and track procurement process
  • Assist in purchasing activities from request of goods/services to payment and delivery
  • Assist in preparing necessary purchasing documents
  • Create a vendor list for IL by listing current suppliers & service providers and identifying new ones
  • Ensure compliance with IL and donors procurement procedures

Agreements Management

  • Draft and prepare agreements to third parties (Sub-grantees, suppliers, …)
  • Ensure all third parties have a valid agreement
  • Collect needed documents from third parties and ensure their related files are updated regularly and are complete
  • Ensure that agreements tracking sheet is up-to-date

Inventory Management

  • Create tracking forms for IL inventory
  • Assist programs team in gathering kits
  • Conduct monthly inventory count and keep related tracker up-to-date

Assets Management

  • Ensure all IL assets are properly registered on the tracker (Date of purchase, Code, Area allocation, Owner allocation)
  • Ensure all employees of IL have their Assets acquisition list submitted and updated
  • Make sure all assets are tagged
  • Reconcile quarterly the assets of IL and make sure they are in good condition
  • Prepare management reports on condition of assets and transfer when needed

Logistical Support

  • Support in organizing events, meetings, trainings …
  • Procure office and cleaning supplies
  • Ensure proper document circulation among team members, board members and third parties when needed
  • Provide assistance with travel arrangements and travel reports (tickets, hotel bookings, petty cash and reimbursements)
  • Make sure rent contracts of IL offices are up-to-date, signed, filed and registered before the legal authorities

Others

  • Attends team meetings
  • Undertakes other related duties, as assigned or requested by their line manager

 

Qualifications

    Bachelor’s degree in Business Management or equivalent
    1 - 2 years’ work experience in a logistics function in NGO
    Strong organization and planning skills
    Trustworthy and detail-oriented
    Computer literacy
    Self-motivation and an entrepreneurial attitude
    Sincere interest in the mission of INJAZ Lebanon
    Excellent English and Arabic
