Essential Roles and Responsibilities
Follow up on the activities related to the DRR program/project implementation in the different target communities, including regular visits to observe progress of program/project implementation
Ensure the monthly activity planning as per set targets (monthly, quarterly, annually) and deadlines by the Program/Project Plan of Action in close collaboration with the PM. Support the branches in setting up the monthly plans and ensure that monthly activities are implemented on field level as per set monthly activity plan and report on any changes/modifications from field level to the DRR HQ Officer/s
Conduct monitoring and evaluation activities for the implementation of the program to determine more areas for improvement and best practices.
Maintain effective and efficient oversight, support, quality control and reporting systems and processes
Ensure updated project documents, for quality and timely implementation of project
Ensure regular field monitoring and modifications as required
Maintain database/archive/records of reports and project documents
Adhere to reporting guidelines for field trips, trainings etc.
Facilitate requirements and make recommendation for planned activities
Manage day-to-day logistics, administration, and personnel activities in accordance with national law and organizational guidelines
Facilitate and support in organizing planning meetings and workshops on the branches level when required
Ensure relevant thematic issues are mainstreamed in the DRR program if appropriate
Maintain a continuous field presence to support CBDRM/DRR activity implementation in the different target communities
Carry out weekly field visits reporting to DRR HQ Manager/Officers and adhere to pre-defined reporting guidelines
Support the branches on reports and ensure compiling the report from different branches
Act as a focal person between the DRR volunteers on field level and DRR HQ Manager/Officers to ensure smooth coordination and implementation
Ensure quality of work on field level as per set and agreed standards in close collaboration with the DRR learning and development officer. This is by conducting the assigned quality/ coaching tools on the branch level
Participate and support in conducting meeting and workshops in the region when required
Ensure that gender, protection, the environment and other important crosscutting concerns are respected and specific population are taken into consideration and not neglected
Report weekly to the Development and Learning officer on the M&E activities’ outputs, case stories, and any technical or quality issues.
Fill in monthly targets in the activity tracking sheet
Ensure the proper reservation and follow up on FA training’s request with the EMS HQ
Ensures and follow up on performance of DRR volunteers on field level and seeks pro-actively solutions for improvement if needed
Assist in identifying DRR volunteer training and capacity needs for an improved implementation of the program at all levels. And report on this to the Development and Learning officer
Ensure CBDRM/DRR program tools are appropriately adapted to the relevant field context by monitoring the use of tools and if necessary contributing to the revision of tools
Participate in the monthly preparation of a field visit and activity plan
Maintain necessary documentation for field visits (monitoring sheets, reports, pictures etc.)
