Driver SSD Support

OBJECTIVE OF THE POSITION:

Based in Tripoli, under the responsibility of the Support Services Manager (SSM), the Driver SSD Support will ensure a good and safe transport of HI staff and equipment and ensure the maintenance of the vehicles.

To support the SS department with different logistics / administrative aspects required for the smooth-running of program activities in compliance with Handicap International Internal Regulation and administrative procedures.

RESPONSIBILITIES:

Responsibility 1: Ensures provision of reliable and secure driving services.

Objective: Ensure that all the passengers and the goods transported reached their destinations safe and secure while respecting HI rules and country rules.

Activities:

  • Ensure the respect of the Lebanon traffic law while driving HI vehicles;
  • Follow the Line Manager planning and instructions;
  • Follow the instructions of the manufacturer and the HI rules when using the vehicle;
  • Collects and delivers mail, and other communications from and to the post office, government agencies and other institutions, if requested by your line manager;
  • Carry out banking/financial and other office out-door messenger related duties;
  • Keep all personal documents as well as those of the vehicle with you and check that they are valid (driving licence, insurance paper, HI ID card, HI Waiver of liability form…);
  • Fill in the Log book every day according to HI procedures;
  • Behave in a respectful way at check point and/or to police officer and/or to military keeping in mind that you are representing HI;
  • Respect HI security rules;

Responsibility 2: Ensure the maintenance of the vehicle with respect to HI vehicle management procedure.

Objective: Ensure that the vehicle is ready for any movement.

Activities:

  • Carry out daily checks before starting up the vehicle (oil level; water level; pressure of the tires etc…)
  • Wash the car when needed and upon request from line manager.
  • Make sure that the security tool box and first aid kit are complete and on board.
  • Make sure the fuel tank is always half full.
  • Inform the line manager when service is necessary.
  • Solve minor technical problems.
  • Inform the logistics department of any major repairs to be carried out.
  • Follow the car rental supplier during his maintenance visit
  • Record all the maintenance done in the log book of each vehicle.

Responsibility 3: Ensure the respect of the departure and arrival time of your movement.

Objective: Ensure that the vehicle and you are ready for the next movement.

Activities:

  • Inspect and prepare the vehicle the day before departure so as to be on time.
  • Prepare additional equipment to be brought along according to the needs (fuel, stickers, flags, tools, medical kit).
  • Guarantee the good loading and unloading of the car and tight the goods in an appropriate way.
  • Know the area map, especially HI staff houses, INGOs offices, UN offices … and relevant partners’ offices.
  • Make sign a Waiver of Liability form letter for none HI staff.

Responsibility 4: Support the Support Services Department

Objective:  prepare the needed documents for payments to suppliers, maintain a good quality of data entry in the follow up tool whenever requested, and support the Support department in any other administrative tasks upon request.

Activities:

  • Support the SSM with the Archiving needed in link with the Archiving Logistics procedures (packing list, packaging, scanning…)
  • Support the Logistics with the stock reconciliation tools.
  • Collect and prepare the reconciliation of all the necessary movements sent from HI office team on the Excel Monthly Movement of Tripoli base.
  • Update the Movement plan on the TEAM UP upon discussion with SSM
  • Collect and prepare the reconciliation of all documents regarding fuel consumption (fuel voucher, logbook, petrol station detailed invoice…)
  • Support the Logistic Team in the loading & off-loading of Tripoli stock upon request.
  • Make sure that packing list and waybill for the items sent to HI projects are issued and properly used.
  • Support the Logistics & Admin Team of TRP Base with the Scanning & Archiving of documents.
  • Manage some petty cash payments related to logistics expenses upon request.

Support the SSD in any other task requested related to Logistics and Admin.

THE SUCCESSFUL CANDIDATE will have:

  • Very Good Computer Skills (Microsoft Office, Data Entry…)
  • Very Good Driving Skills
  • Very Good communication, presentation, diplomacy and negotiation skills
  • Flexible
  • Good Interpersonal Skills
  • Fluent in English and Arabic (French a plus)

Education and experience:

  • Bachelor degree in the Administration / Logistics Field, or similar
  • A minimum of 1-2 years of relevant experience
  • Previous work experience with I/NGO.
  • Logistics Background 1-2 Years
  • Driving Experience 1-2 years

Fixed-Term contract will be for a period till end of May 2018 the position is based in Tripoli, Lebanon
