Reception and office management
Ensure the administrative and technical functioning of the RFL office, in particular the following activities:
• Provide privacy for applicants arriving at the office;
• Receiving victims and beneficiaries
• Establish procedures and criteria for acceptance / treatment of cases.
• Understand the RFL guidelines and ensure that they are followed by staff and volunteers
• Know how to refer beneficiaries to other organizations if the RC mandate does not cover the specific case.
• Complete search requests and write Red Cross Messages (RCMs) for people who request them.
• Ensure the censorship of the contents of the RCMs (strictly familial content)
• Write letters addressed to NSs with a comprehensible and correct style.
• Open files for individual cases and follow-up (classifying, raising, closing, statistics)
• Ensure the proper classification system (individual and thematic)
• Reporting (description of activities and statistics) and problems encountered;
• Inventory management of RFL forms and other office supplies
• Ensure that resources (human, material and financial) are used effectively
• Explore new areas where there is a humanitarian need in RFL (migrants, natural disasters, etc.)
• Explore new financial resources to ensure continuity of RFL self-financing
Responsible of the network of volunteers RLF
• Oversee the organization of the main RFL and RFL antennas;
• Being responsible for the communication between the main RFL office and: the headquarters (if located elsewhere), the branch or local office and other Movement representatives who conduct RFL activities in the affected area;
• Direct the planning of local RFL activities, including field visits;
• Organize (if necessary) the activities of the teams in the field (composition of the teams, tasks, places to visit, briefing and debriefing of teams);
• Supervise and assist collaborators and volunteers within the National Society, according to the needs (training courses, workshops and sessions).
Represent the RFL Office in the NS (vs ICRC / Movement and externally)
• Ensure coordination between the LRC and the ICRC on institutional issues (internal and external meetings)
• Be the LRC reference person for the implementation of the " Restoring Family Links Strategy for the International Red Cross and Red Crescent Movement (and Implementation Plan 2008-2018)
• Cooperate closely and at all times with other teams from the Movement involved in the disaster;
• Liaise, where necessary, with the competent authorities and other organizations;
• Make recommendations on RFL activities to be undertaken, in relation to the disaster or ongoing needs;
• Represent the RFL service at local and international events related to this activity
• Responsible for informing LRC managers, internally, about the progress made by the RFL department and promoting the department internally and externally (information and dissemination sessions, contact with the media).
• Respect the confidentiality and principles of data protection;
• Defend the Fundamental Principles of the International Red Cross and Red Crescent Movement.
