RESPONSIBILITIES (DUTIES):
1. Technical Job Responsibilities
- Together with the Head of Mission and in close collaboration with local partners and other relevant actors, ensure the projects within the responsibility of the employee are implemented in an efficient and timely manner in accordance with the projects’ plans and budget.
- General Field and office coordination duties between MPDL’s staff (just in case) and its local partners in the field or other actors related to the projects the employee is working on.
- Carry out regular field meetings and visits with local partners as necessary to implement the above mentioned duties.
- Preparation of monthly and quarterly narrative/technical reports for each project.
- Facilitate capacity building for the local partners by training their staff in the procedures required by MPDL and its donors for the adequate technical and financial justifications of projects.
- Obtain project-related technical documents (such as sources of verification) from the local partner or other actors in a timely manner to ensure all deadlines are met properly.
- Contribute to the development and maintenance of the general archiving systems in an efficient and highly organized manner.
- Support the MPDL team in the organization of meetings, seminar or such events, particularly when directly related to the projects of responsibility of the employee.
- Support colleagues when necessary for their training and to improve their knowledge about internal procedures, thus contributing to the better functioning of the office.
- Assist in drafting Terms of Reference and logistical arrangements for procurement procedures, workshops, outreach activities planning, needs assessments, etc.
- Assist in drafting project proposals and other documents for donor support for the project.
2. Specific financial duties and responsibilities
- Collecting financial information from local partners and MPDL.
- Collect invoices and other documentation from partners and MPDL (exchange rates, contracts, etc), and check if they are valid or there is missing documentation.
- Collect monthly economic report from partners.
- Check partners’ economic report, correct format errors, and check if it corresponds to the invoiced previously collected (electronic information=paper documentation).
- Register MPDL expenses and bank and cash movements in the economic report.
- At times and when necessary, collaborate with other administrative staff in the office regarding purchases and payments for office supplies, obtaining bills and other similar needs.
- Testing the economic report obtained according to the MPDL economic procedures.
- Filling of economic documentation.
- File all invoices and any other documents (transfers, exchange rates, contracts) from MPDL and partners according to MPDL archiving instructions. - Photocopy all financial documentation and prepare in folders according to internal procedures.
-Organize and follow up on the process of certification of photocopies at the Embassy together with the expatriate staff.
- Economic report submission to HQ after the review of the expatriate.
- Review on comments over the economic report, and feedback to partners.
- Reply to all comments and make any changes if needed, working together with the expatriate.
- Send feedback to the partners regarding their financial report preparation and make suggestions on how to improve their reporting.
3. Security
- Inform the Head of Mission of any relevant information for the security of both MPDL staff and mission and MPDL´s activities in the country and observe MPDL Security procedures.
Education / Background: meaningful training in International Cooperation and Humanitarian Action including
Project cycle, logical framework approach.
Humanitarian framework and coordination
Humanitarian principles and standards
Experience: linked to the application of the previous background
At least 2 years of professional experience in a local coordinator position working on humanitarian action and/ or international cooperation organization.
Coordination in an environment with high amount of stakeholders
Team Coordination (small-sized) and briefing/training
Knowledge and Skills: enabling the candidate to produce sound and meaningful outputs
Excellent communication and interpersonal skills.
Comfortable working as part of a team to add value to collective results.
Ability to exhibit tact, diplomacy, and resourcefulness in dealing with high level officials from donor agencies, international organizations, and other foreign and domestic government officials and partners.
Sound analysis skills of complex multidimensional scenarios and data
Excellent writing skills

Ability to work by objectives, under pressure and in unpredictable circumstances
Language: the main core of the work and outputs are to be done in
Thorough knowledge of English and Arabic, both spoken and written.
