Reports to: The Arts Education Program Coordinator
Duties & Responsibilities
Students
• Is active in the recruitment of students
• Performs registration procedures and keeps updated records at all times
• Supports the program coordinator in the preparation of all student/parent related forms in Arabic (registration form, etc) ahead of the academic year
• Makes sure that all forms are properly filled in by the parents and information uploaded on the student data base
• Takes attendance ahead of all classes and updates information on the soft student attendance sheet
• Contacts parents in case of repeated student absenteeism, investigates matters and reports to the program coordinator
• Assists in all preparations of student events ahead of the event and assists during the event
• Monitors student conduct arriving and leaving the center and reports any misconduct to the program coordinator
• Organizes transportation and accompanies the students on trips and makes sure the ratio students/monitors is 1/10. Hours attending trips are paid.
• Reports needy children who may require sponsorship to the program coordinator
Teachers
• Prepares class lists for the teachers ahead of start of classes
• Keeps updated records of teacher attendance and presents accurate records to the program coordinator every Monday.
• Is a resource person for the teachers in terms of parent contact
• Monitors the students when a teacher is absent and teacher replacement is not available
Parents
• Establishes professional rapport with all parents
• Is the link between the parents and the program coordinator and teachers
• Informs parents of space availability, class cancellations, and trips
• Acts as the main contact of parents within Ayadina.
Administrative
• Handles teachers’ requests for materials during the year and submits for approval to the program coordinator
• Is aware of all emergency procedures and keeps two first aid kits updated
• Documents the date, place, and number of students participating and names of monitors for each student trip.
• Presents cost of trip to the program coordinator for approval and all receipts upon return to the center.
• Attends staff meetings
• Closes the center at the end of classes by locking the doors, turning off lights and computers
• Helps out with other administrative tasks related to the arts education program when needed
