Admin & Logistic Manager

SUMMARY

SAWA is looking for an admin & logistics manager responsible for logistics procedures, ways of working supervision, and other related admin tasks.

RESPONSIBILITIES, MAIN DUTIES AND REPORTING:

  1. Approve and review RFPs and RFQs prepared by the Admin Assistant.
  2. Approve and review offers received from the suppliers.
  3. Approve results of negotiations with the suppliers.
  4. Review and approve quotation analysis prepared by the Admin Assistant.
  5. Adhere to SAWA’s policies and procedures.
  6. Approve suppliers after finalization of selection process.
  7. Coordinate with Legal Advisor on the preparation of contracts and taking care of contracts management.
  8. Approving Purchase Orders.
  9. Adhere to SAWA’s conflict of interest and anti-fraud policy.
  10. Reviewing and approving quarterly suppliers’ evaluation.
  11. Supervise the petty cash held by the Admin Assistant.
  12. Review and approve SAWA’s database of suppliers.
  13. Responsible for implementing a sound procurement environment and carry out necessary backup.
  14. Recording and monitoring Fixed Assets, and preparing periodic depreciations.
  15. Providing professional advice to managers on logistics, administration and security.
  16. Develop effective networks with external stakeholders.
  17. Work across teams, specifically HR and Finance
  18. Deliver any other responsibility assigned by Programs Manager  

REPORTS TO:  Programs Manager.

FUNCTION: Admin.

Job Requirements:

  • Bachelor’s Degree in Business Management or equivalent
  • Procurement certificates are highly preferable
  • +2 years of experience in procurement
  • Experience at an NGO is desirable
  • Fleet management, Supply Chain management, basic mechanical engineering, basic IT knowledge

KNOWLEDGE, SKILLS AND ABILITIES:

  • Good Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
  • Solid reporting skills
  • Excellent verbal and written communication
  • Organized and strong attention to details
  • Keen on Meeting Deadlines
  • Strong interpersonal skills and a proven ability to work effectively with others
  • Capacity to work under high pressure
  • Ability to show initiative and take responsibility

EMPLOYEMENT CONDITIONS

  • Contract duration: 8 months full-time with possibility to renew;
  • Having a valid Lebanese/International driving license is a must;
  • Required Starting Date: May 2018;
