MAIN OBJECTIVE OF POSITION
Main purpose:
Ensure registration and admission of patients visiting hospital and prepare the patient for his/her consultation according to hospital protocols. Perform secretarial administrative activities according to the instructions of the supervisor and MSF rules and protocols to ensure efficient administrative support.
Accountabilities:
- Welcome patients, ascertain purpose of visit, inform them about how the facility functions, direct them to appropriate staff and ensure the availability of a comfortable waiting area for them and their relatives.
- Bring any patient with an obviously serious medical problem to the attention of the triage nurse.
- Ensure good flow of patients avoiding overcrowded rooms and having patients standing up for long time while waiting for their turn.
- Schedule and confirm patient medical consultations, surgeries, diagnostic and follow-up appointments.
- Identify patients and register their administrative details: The associated activities are, amongst others:
- Create and update files for patients according to protocols, and ensure maintaining and filing system in good condition.
- Ensure, maintain and promote confidentiality regarding all information registered.
- Keep record of daily attendance, exits (cured, defaulter, death or transfer), and collaborate with the social workers in their tracing of defaulters to ensure they come back.
- Undertake information retrieval for practice/patient’s best interest as requested by the heads of department.
- Preparing, produce referral letters, and medical reports in accordance with the hospital policy and produce.
- Responsible for minute taking at meetings and their timely production and distribution as requested.
- Ordering and maintaining the stationary needs of the reception area.
- Answer telephones, and direct calls to appropriate staff. Maintain a call register (incoming and outgoing) informing the individuals about the calls received during his/her absence.
- Write and/or check official letters, reports and other documents related to the hospital
- Report daily to the head nurse about daily/weekly admissions, defaulters.
- Participating in any other related activities as requested by the line manager
SKILLS AND QUALIFICATIONS:
Education
- At least a High School Certificate.
Experience
- Office Experience is desirable.
Languages
- Fluency in English and Arabic is mandatory.
