- Preparing and issuing bid documentation to qualified vendors
- Managing quality assurance procedures in conformity with donor requirements
- Negotiating pricing and payment terms
- Receive and process order request
- Follow up purchases from request to payment and delivery
- Control quality and quantity of the purchased items according to the requester’s specifications
- Ensure that the format and information on quotes and invoices comply with regulations
- Ensure compliance with administrative procedures for the management of advances and payment of suppliers
- Manage Excel and web-based procurement tracking system and processes (SharePoint) and ensuring that up-to-date procurement documentation is available for review by the Project Manager, the field offices, and the Donor.
- Creates purchase orders, ensuring relevant procurement procedures have been applied and all supporting documentation is attached
- Ensuring that invoices received reconcile to purchase orders and created and matching receipts to purchase orders
- Perform other related duties as required.
