HR & Administration Assistant

Terms of Reference

 

 

Job Title: HR & ADMINISTRATION ASSISTANT

Duty Station: GVC Office in Zahle with regular travel to project areas.

Line Manager: GVC HR and Administrative Coordinator.

Responsible for: GVC staff contracts and administrative needs, and contract management.

Salary grade:     Grade 3 -  Level 2

 

 

MAIN DUTIES AND RESPONSIBILITIES:

 

 

  • Support the line manager to implement GVC recruitment procedures in accordance with Lebanese Labour Law;
  • Assure an introductory presentation and GVC welcome pack for all new staff;
  • Support the line manager in Liaising with the insurance company to assure coverage and good case management for all GVC staff according to GVC specifications;
  • Support the line manager in completing and updating staff dossiers and assure that staff are equipped as required by their positions;
  • Assist in Preparing Employment Contract for daily workers, consultants and employees;
  • Support the HR and Admin Coordinator in managing staff evaluations processes, and collective and individual staff grievances;
  • Liaise with logistics to arrange accommodation and transportation booking for meetings, trainings, workshops, leave and other purposes in coordination with the line manager;
  • Attend HR coordination meeting when required.
  • Ensure that the attendance sheets are timely prepared and archived.
  • Ensures that the office and guest house facilities and equipment/furniture is always in good conditions
  • Update internal and external contact sheet;
  • Collection of time sheets and monthly tracking of leave balances;
  • Prepare the digitalization of Contracts, MoUs, Agreements and other official documents;
  • Performs other related tasks as required

 

QUALIFICATIONS

  • Diploma or Degree in Management, Human Resource/ Personnel Administration, Public administration
  • At least 2 years of previous experience as HR and Admin Assistant in NGOs will be an asset.

 

PERSONAL AND INTER-PERSONAL SKILLS

  • Fluency in Arabic and in English;
  • High reliability, flexibility and patience;
  • Professionalism, strong sense of responsibility and willingness to work long hours;
  • Understanding of and commitment to humanitarian principles and values.

 

EMPLOYEMENT CONDITIONS

  • Contract duration: 10 months with the possibility of renewal;
  • Required Starting Date: 15 of June
  • Duty Station: GVC Zahle office with possible missions to Al Ain, Beirut or other areas of interest for GVC programmes.
