Administrative Assistant

Job Brief

We are looking for a competent Administrative Assistant to organize and maintain the executive’s schedule and assist by performing a variety of administrative tasks. The goal is to contribute to the efficiency of the workflow by ensuring all assigned administrative duties are carried on timely and efficiently.

Responsibilities

  • Perform technical typing/processing tasks in English, French, and Arabic
  • Maintain executive’s agenda and assist in planning appointments
  • Receive phone calls and redirect them and take messages
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Handle and archive confidential documents
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Monitor office supplies and coordinate with suppliers
  • Maintain electronic and paper databases ensuring information is updated, organized and easily accessible
  • Perform related job duties as required

Requirements

  • Degree in executive secretary
  • Proven experience as an executive secretary or similar administrative role
  • Proficient in MS Office (Word, Excel, PowerPoint,…) and basic knowledge in SPSS
  • In-depth knowledge of office management and basic accounting procedures
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
  • Degree in business administration or relative fields
