Receptionist/Admin

 

Reception tasks:

Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.

Directs visitors by maintaining employee and department directories; giving instructions.

Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

Contributes to team effort by accomplishing related results as needed.

Aministration tasks:

Engage in meetings with Lebanon Office Staff to assist in planning activities and taking minutes

Collect office bills for regular office expenditures and submit them for approval to the Accounting department

Maintain proper and confidential filing of documents

Support the preparation of logistics related to conferences, workshops, seminars, meetings etc.

Support logistics needs of the staff, including travel itineraries, visas, accommodations, Taxis in coordination with IT Log Officer.

Update/Renew all Administration contracts with third Parties (Travel agent, insurance company etc.)

Other duties as assigned by the SMT (Senior Management Team)

Qualifications:

Experience in development projects

Ability to work simultaneously on multiple tasks in a fast-paced working environment

Very organized with attention to detail and follow-up

Ability to maintain strict confidentiality

Working proficiency of English and Arabic is a must

Knowledge of Microsoft Suite
