Administration Assistant

 

Responsibilities:

  • Manage the Base Cash Books and Bank Books.
  • Take responsibility for advances, prepare receipts and the payment of all expenditures.
  •  Controlling the regular administrative payments (telephone, electricity bills, fuel bills, internet fees, water fees, etc)
  • Preparing the monthly accountancy documentation. Close the monthly accountancy before the 1st of the following month and send to Capital office.
  • Manage and properly archive the proof of expenditures (invoices codifying, allocations, stamps, placing in files).
  • Prepare monthly expenses forecasts and responsible to fulfil the monthly cash request. (Make sure there is at any time treasury availability).
  • Report to Finance & Admin Coordinator on a regular basis.
  • Manage the administrative issues (rental contracts, insurance, …).
  • Draw up a work plan.
  • Liaise between Syria and Lebanon mission on administration and logistic.
  • This ToR is not exhaustive and may be changed or amended by the mission management when necessary, According to the work needs.
  • Any other work duties assigned by the Finance & Admin coordinator and by mission management.

 

Qualifications:

  • Bachelor degree in business administration/accounting
  • Ability to travel to Damascus, Syria, very frequently
  • Excellent command of both English and Arabic languages
  • One year experience in similar field
  • Excellent communication skills
  • Excellent reporting skills
  • Ability to work independently with remote support
  • Salary 900 to 1200, according to experience
